Get a free consultationCustom software is a system built for one business: yours. It takes the steps your team already follows, the order forms, approvals, stock checks, follow-up calls and month-end reports, and turns them into screens that do the work in the right order. People stop copying data between Excel sheets, WhatsApp groups and Tally, and you stop waiting until the end of the month to know what happened.
It makes sense when an off-the-shelf tool forces you into a process that does not match how you sell, make or deliver, or when you are paying for five tools that do not talk to each other. A distributor with credit limits per dealer, a clinic chain with its own referral rules, or a training company with batch-wise fee plans all hit the limits of generic tools quickly. If the steps themselves are not yet clear, our business process management work maps and fixes the process before any code is written.
Good software is boring in the best way. It is fast, it shows each person only what they need, it keeps a record of who changed what, and it is backed up every day. It should be built in small, usable pieces so you see value early, and the code should be yours, documented well enough that another developer could take it over. That is how our team builds it at our Mahape office in Navi Mumbai.

Ready-made software is the right answer more often than people expect. Custom software wins when your process is your advantage. Use this to decide.
| Question | 1Off-the-shelf tool | 2Custom software |
|---|---|---|
| Upfront cost | Low or none, you start on a subscription | Simple tools Rs 1-3 lakh, mid-size systems with accounts, backend and payments Rs 4-12 lakh, large platforms Rs 12-40 lakh+ |
| Ongoing cost | Per-user monthly fees that grow with your team | Hosting plus upkeep, usually 15-25% of the build cost a year |
| Fit to your process | You change your process to fit the tool | The software follows your process |
| Time to start | Same day | First usable module in weeks, the rest in milestones |
| Who owns the data and code | The vendor hosts it, you rent access | You own the code, the database and the server accounts |
| Integrations | Only what the vendor supports | Any system with an API, such as payment gateways, WhatsApp, Tally or a courier |
| Best when | Your process is standard, such as basic accounting or email | Your process is unusual, or tools are costing more than they save |

The right build for your goals.
Say you run an FMCG distribution business in Navi Mumbai with 12 salespeople and about 400 retailers. Orders come in through WhatsApp messages and phone calls. Someone types them into Excel, checks stock in another sheet, and then enters the bill in Tally. Salespeople do not know which retailer is over their credit limit, and you only find out at month end that a scheme was given to the wrong shops.
We would not build everything at once. Phase one is an order and stock module: salespeople book orders from a phone, the system checks stock and the retailer's credit limit, and the office approves and dispatches. Phase two adds beat plans, collections and photo proof of delivery in a field app. Phase three brings dashboards for sales by area, product and salesperson, and pushes bills to Tally so nobody types them twice. This is the kind of work covered on our ERP and business software and CRM development pages.
Each phase goes live on its own, so the team starts using the software within weeks, not after a year. A system like this usually sits in the mid-size range of Rs 4-12 lakh, depending on how many modules you take and how deep the Tally link goes. Our logistics industry page shows similar thinking for dispatch-heavy businesses.
We sit with the people who do the work, not just the owner, and map each step, form, approval and report. We also look at the data you already have and where it lives.
You get a document listing every module, user role and integration, split into milestones with a fixed price for each. You decide which milestones to start with.
Before coding, we design the key screens so your team can click through and point out what is missing. Our UI/UX design team handles this stage.
We build one milestone at a time and show you working software at the end of each, on a test server with your own sample data.
We test each role and edge case, clean and import your existing data from Excel or the old system, and run the new system alongside the old one for a short period if needed.
We go live, train each team, and hand over the code and documentation. Ongoing updates and fixes run under a maintenance and support plan.
A simple internal tool, such as a booking register, a quotation maker or a small approval system, usually costs Rs 1-3 lakh. Mid-size systems with user accounts, a full backend, payments or several integrations usually cost Rs 4-12 lakh. Large platforms, such as multi-tenant SaaS products, marketplaces or ERP systems covering many departments, usually cost Rs 12-40 lakh+.
Cost is driven by the number of user roles, the number of screens and reports, the integrations (each external system adds testing work), how messy your existing data is, and whether you need a mobile app as well as a web app. A clear scope is the best way to control cost, which is why we price by milestone rather than by the hour.
After launch, plan for hosting and upkeep. Cloud providers such as AWS bill by usage, so the hosting bill grows with your users and data; our cloud and DevOps team sizes servers so you do not pay for capacity you do not use. Upkeep, meaning updates, security patches, small changes and support, is usually 15-25% of the build cost each year. Simple tools can be ready in a few weeks; larger systems arrive in milestones over a few months.
The biggest mistake is trying to build everything in one go. Long projects with one big launch at the end tend to run late, and by the time they arrive the business has changed. Start with the module that saves the most time, use it, then build the next one. The second mistake is having no owner on your side. Someone in your team must be able to answer questions and approve screens each week.
Other mistakes we see often: not cleaning old data before importing it, letting the developer keep the code or the server in their own name, choosing a vendor on the lowest hourly rate, and forgetting to budget for upkeep. If a previous project went wrong, our guide on freelancer vs agency explains what to check next time.
You may not need custom software yet. If a ready-made tool covers most of what you need and your team is willing to adjust a few steps, use it and spend the money on sales. Come back to custom software when the workarounds start costing more time than the tool saves, or when you need two tools to share data that they cannot share today.
We will review the code, the server and the documentation, and give you a plain-language report on what can be saved and what it will take to finish.

Yes — we audit, document, stabilise and continue development of software someone else started.
We pick a stack that is widely used and easy to hire for, so you are never stuck with one vendor. Typical choices are a modern JavaScript or PHP framework, a SQL database and a mainstream cloud host. We explain the choice in the scope document.
Yes. Most systems we build work in a phone browser, and where field teams need offline use, the camera or GPS, we add an Android or iOS app that talks to the same backend.
We build with role-based access, encrypted connections, audit logs and backups, and we design data collection with the DPDP Act 2023 in mind. We can sign an NDA before you share any business details.
You can handle it in-house with the documentation we hand over, or move to a support plan with us for updates, fixes and small changes. Upkeep is usually 15-25% of the build cost a year.
