Daily Sales Reporting System: How 100+ Sales Reps in 20 Teams Report, Plan and Compete in One App
A Tally Solutions partner’s sales team was reporting its day on WhatsApp and Excel, and managers built reports by hand. We built a daily reporting system where every rep logs the day in minutes and managers get 25+ live reports, plan-vs-actual and leaderboards — with no manual compiling.

Reps log the day. Reports build themselves.
Every sales rep now logs the day — calls, visits, CA meetings, demos, new business and renewals — in one screen. Leaders set a monthly plan per person and per product; reps declare each morning what they will sell that day. From that single source, the system builds 25+ reports on its own: daily sales by product, plan vs actual, team rankings, revenue calendars, incentive statements and month-on-month growth. Leaderboards, badges and a sales “league” keep the team competing.
A large Tally Solutions partner
The client is an established Tally Solutions partner in India. Its sales team sells TallyPrime licences (Silver and Gold), Tally Software Services renewals, Tally on Cloud, annual maintenance contracts and its own business apps to small and medium businesses — often working through chartered accountants. The team is large and spread across many leaders, which is exactly why daily reporting had become a problem. (We have kept the company’s name private here.)
Reporting took longer than selling
Software sales is a numbers game: calls, CA visits, demos and follow-ups, every day, by every rep. The team was sending its daily numbers in WhatsApp messages and personal Excel sheets. Team leaders spent their evenings copying them into a master sheet, and by the time management saw a report it was already out of date.
No single daily record
Each rep reported in a different format, so totals rarely matched.
Reports were built by hand
Product-wise, team-wise and incentive reports took hours each month.
Plans were not tracked
Targets were set, but nobody could see plan vs actual until month end.
New business and renewals were mixed up
The two need very different follow-up.
People left and history broke
When a rep left, their past sales fell out of the totals.
One entry feeds every plan, report and leaderboard
Because every number comes from the same daily entry, nothing is typed twice and nothing is compiled by hand.
- Step 1Monthly planLeader sets units and ₹ per rep, per product
- Step 2Morning planRep declares what they will close today
- Step 3Log the dayCalls, visits, new business and renewals
- Step 4Reports build25+ reports update on their own
- Step 5CompeteLeaderboards, badges and the sales league
Built around how this team actually sells
A web-based custom software system that works on a phone or a laptop, built around how this team actually sells.
Daily entry in one screen
Each rep sees only the activities and products assigned to them, grouped into tabs.
- For each one they enter leads, new business and renewals — quantity and amount.
- Product sales fill the business totals on their own, so nothing is typed twice.
- Admins can switch past-date entry on or off; when the lock is on, reps can edit the last 24 hours and leaders the last 72.
- It is the same idea as a sales CRM, built for daily reporting.
Monthly plan and morning plan
Team leaders set a monthly new-business plan for each rep, product by product, in units and rupees.
- Once saved, the plan locks — only an admin can change it.
- Each morning, reps declare which products from their plan they will close today, and the system works out the planned revenue.
- Plan vs actual is then visible by team, by rep and by product, week by week and day by day.
- Sales that were not in the plan show up separately as a bonus, not hidden.
25+ automatic reports
Because every number comes from the same daily entry, reports build themselves.
- All periods follow the Indian financial year (April to March), with month, quarter, half-year and year views, Monday-start weeks and a holiday calendar for working days.
- Product-wise daily salesteam totals by day or month, click a team to see its reps
- Plan vs actualmonthly plan and morning plan against real sales
- Revenue calendarevery day’s revenue against that day’s target
- Team and leader performance, top performers and percentage contribution
- Incentive statement (“My Money”)new business, renewals and bonus against the rep’s cost
- Trendsmonth-on-month growth, sales trend and period comparison
- Lost-business analysis, activity performance, daily summary and manager reports
Leaderboards, badges and a sales league
Numbers motivate a sales team when they are visible.
- The system has a points leaderboard, a champion wall whose cards can be shared on WhatsApp or downloaded as an image, automatic badges (more than 1,700 awarded so far), a weekly “Mission” target that earns stars, and an animated six-month sales league with a podium.
A product knowledge base
Reps can search answers to product questions and ask new ones, so the same customer question is not answered from scratch every time.
- More than 1,400 questions have been logged by the team.
Roles and security
Admin, manager, team leader and executive roles, plus a permission matrix of 31 switches that controls every menu item and every action.
- Team scoping is enforced on the server, not just hidden in the menu: a leader’s browser can never fetch another team’s numbers.
Leaderboards, badges and a sales league that reps actually watch
A sales team works harder when progress is visible and wins are celebrated. We built six motivation features into the same daily data, so nobody has to maintain a separate scoreboard.
Leaderboard
Every rep ranked against the whole company, with This Week and This Month tabs.
- Columns for achievement %, activity count, new-business revenue, points and movement
- Up and down arrows show how many places a rep moved since the last refresh
- Gold, silver and bronze medals for the top three; your own row is highlighted
- Managers refresh the rankings, and each badge earned adds 20 points
Champion Wall
The month’s top three reps by new business, on a podium: Champion, Runner Up and Third Place.
- Each card shows photo, team, new business, achievement % against target, renewals and total business
- Cards are turned into an image in the browser and shared on WhatsApp, by email or downloaded as a PNG
- On phones the image goes straight to the native share sheet
- Any of the last six months can be opened
APL — the six-month sales league
An animated race of new business over six months. Every rep employed in the window runs in their own lane.
- Each month is one stretch of the track; a rep’s speed is that month’s new business
- Live rank numbers, the top three lanes highlighted and a crown on the leader
- Filter by team, find a name, play at 1x, 2x or slow, or skip to the result
- Tap a runner for a month-by-month breakdown and “Rank X of N”
- A winner pop-up, a three-step podium and confetti at the finish
Mission 5K — weekly stars
A weekly new-business target that turns into stars.
- Weekly target = daily target × working days, Monday to Friday
- Official holidays reduce the target; leave and half days never do
- Saturday sales count toward the week
- Every week at or above target earns a star, up to five
- Team → rep → week-by-week view, with Excel and a signable PDF per rep
Top Performers
Reps ranked by new-business achievement against target, in clear tiers.
- Champion at 121% or more, Achiever at 100% or more, On Track at 81% or more
- Switch between a team view and an executives-only view
Next-badge nudge
Each rep’s dashboard shows the closest badge they have not yet earned, with a hint.
- “Submit before 10 AM”, “2 more days to complete the streak” or “you’re at 96%, need 24% more for 120%”
- Next to their entry streak, monthly and weekly rank and badges this month
Eight badges, awarded automatically — 1,775 so far
My Money: every rep sees what they have earned
Incentive used to be a month-end surprise. Now each rep can open My Money any day and see exactly where they stand.
Earnings, worked out for you
Earnings from new business, renewals and the new-business bonus are added up from the daily entries, using the company’s incentive rules.
- Total earnings minus monthly cost-to-company = “My Extra Earnings”
- If it is negative, the screen says how much more is needed to break even
Any period, day by day
Today, yesterday, this week, month, quarter, year or a custom range.
- A banner shows whether this month’s new-business target was hit
- A daily earnings chart and a day-wise table with attendance
The right view for each role
Reps see their own numbers, leaders see their team, and admins and managers get a team summary.
- Built on the same server-side team scoping as every other report
25 reports, all from one daily entry
Every report shares one filter bar — period, team and rep — and includes people who left during the period, so totals always match. Excel, CSV, print and signable PDF exports are on the reports managers sign off.

A different dashboard for every role — and an admin who controls it all
Everyone opens the app to the numbers that matter to them, and the admin can change how the system works without calling a developer.
Admin and manager dashboard
Active reps, how many have submitted today and who is pending, today’s entries and this month’s revenue.
- Today’s submissions list and coverage
- “This Month’s Stars” — everyone at 80% achievement or more
- Quick actions to the screens they use most
Team leader dashboard
The same view, limited to their own team.
- Spot who has not submitted before the day ends
Rep dashboard
A “My Progress” ring, new business against target, today’s entry status and the entry streak.
- Monthly and weekly rank, badges this month and the next-badge nudge
Masters the admin controls
Teams, activity groups, sub-groups, products and activities — each with its own benchmark for field and business-development staff.
- Assign activities to reps one by one or in bulk
- Targets and salary history with a start date — old days keep the old target
- Holiday calendar: national, religious and regional holidays reduce working days; optional ones do not
- App name, tagline and logo, and around 30 role permission switches
Is your sales team still reporting on WhatsApp?
We can set up a daily reporting system around your products, targets and teams — so reports build themselves.
Totals people can trust
A reporting system is only useful if people trust its totals. Some of the problems we solved along the way:
People who leave stay in history
We made one shared rule for every report — a rep counts for a period if they were employed during it — and applied it across about 18 reports. Targets are pro-rated for partial months, so totals and row lists always match.
Targets change mid-year
Each rep’s target now has a start date, and reports add up the target that applied on each day. We checked the switch against 1,064 before-and-after comparisons with zero differences.
Large tables, still fast
Sales are added up per rep and per day before they are joined to the team list, and big reports open team-first with members on a click.
Plans can’t be quietly edited
Monthly plans lock after the first save, and morning plans allow one declaration per day.
Counted from the live system
Counted from the live system (October 2026):
The bigger change is how the team works: leaders no longer compile reports in the evening, management sees today’s numbers today, and every rep can see exactly where they stand against plan.
Ask your sales data in plain English
The next phase, now in development, is an AI assistant that lets a manager type a question — “which products is Team A behind plan on this month?” — and get the answer from the live data. Like everything we build with AI, it answers from fixed, read-only queries and cannot change any record. See our AI automation services for how we approach this.
Technology used
A fast, framework-free PHP 8 application on MariaDB, hosted on a dedicated Ubuntu server; Chart.js dashboards; Excel, PDF and print export; shareable image cards; and a one-step deployment that protects configuration and clears the cache on every release. We host and run it through our cloud and DevOps service.

Frequently asked questions
What is a daily sales reporting system (DRS)?
A daily sales reporting system is an app where every sales rep logs the day’s activity and sales in one place. Reports, targets, plan vs actual and leaderboards are then built automatically from that data, so managers do not compile reports by hand.
Can sales plans and targets be tracked against actual sales?
Yes. Leaders set a monthly plan per rep and per product, reps declare a plan each morning, and the system shows plan vs actual by team, rep and product, week by week and day by day.
Can team leaders see other teams’ data?
No. Leaders see only their own team and reps see only themselves. This is enforced on the server, and a permission matrix controls every menu item and action.
Does the system follow the Indian financial year?
Yes. Reports use April-to-March financial-year periods — month, quarter, half-year and year — with a holiday calendar for working days.
How long does it take to build a system like this?
A first working version with daily entry, core reports and roles can usually go live in a few weeks; reports, plans and motivation features are then added in phases based on how the team uses it. Contact Infoways for a free estimate.
