AI Receptionist for Clinics and Small Businesses in India
Your front desk misses calls when it is busy, at lunch and after closing. An AI receptionist picks up those calls and WhatsApp messages, books appointments, sends reminders and passes anything unusual to your staff. Infoways sets it up across Mumbai, Navi Mumbai, Thane and Pune.
Why does your clinic or small business need an AI receptionist?
Because a call nobody picks up is usually a booking that goes to the next name on Google Maps. An AI receptionist is software that answers your phone line and WhatsApp number in Hindi, Marathi or English, books, confirms or reschedules appointments in your calendar, and answers routine questions about timings, fees and location. When a request is medical, unusual or the caller asks for a person, it passes the call or chat to your staff.
Take a two-chair dental clinic on Ghodbunder Road in Thane. The receptionist also handles billing and the X-ray room, so in the late morning the phone often rings out, and a new patient with a toothache rings the next clinic instead. With an AI receptionist on the same number, that caller hears that they are speaking to the clinic's AI assistant, books the next free slot and gets a WhatsApp confirmation. If they mention swelling or severe pain, the call goes straight to the front desk.
Infoways is a web, app, software and AI company based at Technocity, Mahape, in Navi Mumbai. We design the call and chat flow, set up the voice and telephony, connect your calendar or practice software, write the scripts with your staff and test on real calls. Problems an AI receptionist fixes every day
They come up at most front desks we look at.
Patients call while the doctor is consulting and nobody picks up
At a typical small clinic in Belapur, the only receptionist is also handing out medicines, so the phone rings out during the morning OPD.
With AI01The AI receptionist answers every unanswered call, books the slot and sends the patient a WhatsApp confirmation.
People call after we close and never call back
A typical salon in Thane gets bridal enquiries at 10 pm, long after the staff have gone home.
With AI02The assistant takes the call, shares the package details you approved and books a consultation for the next day.
Half my WhatsApp messages are the same five questions
A typical diagnostic lab in Dombivli spends its mornings typing out fasting rules, home collection timings and the address.
With AI03The assistant answers those from your approved list and passes anything else to staff.
Patients forget their appointment and the slot goes empty
A typical physiotherapy clinic in Pune loses a few sessions every week to people who simply forgot.
With AI04The assistant sends a reminder the evening before and lets the patient confirm or move the slot with one reply.
Callers speak Marathi or Hindi and my new staff only speak English
Picture a coaching class in Panvel whose new front-desk assistant struggles with Marathi-speaking parents.
With AI05The AI receptionist answers in the caller's language and writes the enquiry into your sheet in English.
Patients ask the front desk medical questions they should not answer
Callers often ask the receptionist whether they should stop a medicine or if a symptom is serious.
With AI06The assistant never answers these, tells the caller the doctor will advise, and transfers urgent calls straight to staff.

Which businesses in India use an AI receptionist?
Any business where most calls are about bookings, timings or the same ten questions.
Clinics and doctors
Books consultations by doctor and day, shares fees and timings, and sends every symptom question to staff.
Dental clinics
Books new patients and root canal or braces follow-ups, and reschedules when the dentist is on leave.
Diagnostic labs
Answers fasting questions, books home collection slots and says when a report is ready, with no results in the message.
Salons and spas
Books by stylist and service length and answers price questions from your rate card.
Hotels and homestays
Answers availability, check-in and directions questions at night and passes booking requests to the front office.
Coaching classes
Takes admission enquiries in the exam season rush and books demo classes and counselling slots.
What happens when a patient calls the AI receptionist?
One call to a clinic in Chembur, followed from the first ring to the reminder the next evening.
- 1
The call is answered on the first ring
Unanswered or after-hours calls forward from your number to the AI line. The caller hears your clinic name and that they are speaking with an AI assistant on a recorded line.
- 2
It understands what the caller wants
The caller says, in Hinglish, that she wants the skin doctor on Saturday. The assistant asks only for what is missing: her name and mobile number.
- 3
It checks the real calendar
It reads open slots from your practice software, Google Calendar or booking sheet, offers two times and blocks the one she picks.
- 4
It answers the usual questions
She asks about the fee and parking, and gets answers from the list you approved. For anything outside that list, it offers a callback.
- 5
Anything medical goes to a person
If she asks whether a cream is safe, the assistant says the doctor will advise at the visit. Words such as bleeding or chest pain trigger an immediate transfer to staff.
- 6
Confirmation, reminder and record
She gets a WhatsApp confirmation with a map link, and a reminder the evening before. Your staff see the booking, a call summary and the recording in one place.

What Indian rules apply to an AI receptionist?
As of November 2026. Answering calls that customers make to you is the simple part. Reminders, outbound calls, SMS and WhatsApp messages each have their own rules.
Automated outbound calls
TRAI's TCCCPR amendment of February 2025 requires senders to tell their telecom provider in advance about auto dialer or robo-calls and their purpose. TRAI regulation
How we handle it Reminder and confirmation calls are declared to your telecom provider before they start, with their purpose.
140 and 1600 number series
Promotional calls by any sector must come from 140xx numbers, which customers can block by sector on the DND registry. The 1600xx mandate covers banks, insurers and other BFSI entities and government. TRAI PR 91/2026
How we handle it The receptionist does not make sales calls. Offers and campaigns stay separate and go through a registered 140 series setup if you run them.
SMS reminders
Commercial SMS needs a registered principal entity, header, content templates and consent template. Headers end in -P, -S, -T or -G by message type. TRAI advice to senders
How we handle it Reminder templates are registered as service messages under your business header before the first SMS goes out.
WhatsApp opt-in and hand-off
Message only people who opted in. Automation is allowed with a prompt, clear and direct way to reach a human. WhatsApp Business Messaging Policy
How we handle it Opt-in is collected at booking, and every chat has a "talk to staff" option.
Health information on WhatsApp
The same policy says not to use WhatsApp for telemedicine or to send or request health information where regulations require heightened safeguards.
How we handle it The receptionist never asks for symptoms in chat and never sends reports. Labs send a neutral "report ready" notice with a secure link.
AI and medical advice
The Telemedicine Practice Guidelines (2020, clause 5.4) say platforms based on AI or machine learning may not counsel patients or prescribe; only a registered medical practitioner can. Guidelines PDF
How we handle it The script blocks advice, diagnosis and medicine questions and routes them to the doctor or front desk.
Personal data
DPDP Rules notified 14 November 2025, with eighteen-month phased compliance. Consent notices must be clear about purpose, and consent can be withdrawn any time. PIB backgrounder
How we handle it Only name, number and booking details are collected, with a short consent notice and a set retention period for recordings.
A practical summary, not legal advice. We recheck the TRAI and Meta position before each go-live.
Sample lines, written in Roman script.
Can an AI receptionist speak Hindi and Marathi with Indian callers?
Yes. Current speech models handle Hindi, Marathi and English, and many callers mix all three in one sentence: Marathi to start, Hindi for the doctor's name, English for the time. We write the script in the language your callers use first and test it with real recordings from your line.
Calls come from busy roads, crowded trains and shops with the TV on, and network drops are common. We keep questions short, read names and times back, and send a WhatsApp summary after the call so a misheard word gets caught. If the caller is still hard to hear after two tries, staff call back.
For advance fees or deposits, the assistant can send a UPI payment link on WhatsApp and confirm the slot once the payment shows up. It never asks for card numbers or UPI PINs. Salons often use this for bridal packages; see our guide to salon software in Mumbai for the booking side.
What does Infoways set up for your AI receptionist?
Everything runs in accounts that belong to your business.
- 01A written call and chat flow for your business, agreed with your staff before anything is built
- 02Greeting, questions and answers in Hindi, Marathi, English or Hinglish, using your approved fees, timings and policies
- 03A clear line at the start of every call saying it is an AI assistant, and an honest answer whenever a caller asks
- 04Connection to your calendar, practice software, salon software or booking sheet, where the software allows it
- 05WhatsApp Business Platform setup with opt-in wording and approved confirmation and reminder templates
- 06Registered SMS reminder templates and robo-call declaration where you use SMS or reminder calls
- 07Hand-off rules: which words, topics and callers go straight to a person, and to whom
- 08Hard limits for clinics and labs: no medical advice, no diagnosis, no reports or results in messages
- 09Testing on real calls with your team, a short staff training and a one-page guide
- 10Monthly review of missed intents and wrong answers, with the script updated after each review
What affects the cost of an AI receptionist?
The cost depends on how your bookings work. We go through each of these drivers with you before quoting.
Call volume and length come first, since voice and telephony providers usually bill by the minute: short booking calls cost less to run than long hotel enquiries. Then come the channels (calls, WhatsApp or both) and your software. A Google Calendar is quick to connect; older practice software may need a workaround.
WhatsApp has its own running cost. Meta has charged per delivered message since 1 July 2025, by message category and country, with a separate India rate card. From 1 October 2026, each number gets 1,000 free service messages a month before charges apply, and utility templates such as reminders are charged even inside the 24-hour customer service window. The current rates are on Meta's pricing page.
Languages, branches, the number of doctors or stylists and the hand-off rules add setup time. A single-doctor clinic in one language is a smaller job than a multi-branch lab with home collection.
When is an AI receptionist the wrong choice?
If your phone rings five times a day, a missed-call alert and a callback habit will serve you better. Fertility clinics, counselling practices and other places where every call is long and emotional need a person on the line.
It is also a poor fit when your calendar lives only in someone's head or a paper diary. The assistant can only book what it can see, so the first step there is a shared calendar or booking sheet. We will tell you if that is where you should start.
Some things the assistant should never do, whatever the business: give medical, legal or financial advice, share test results, take card details, or pretend to be human. If a vendor offers you a receptionist that does any of these, walk away.

Questions owners ask about AI receptionists
Will callers know they are talking to an AI?
Yes. In every setup we build, the greeting says the caller is speaking with the business's AI assistant, and if anyone asks during the call, it answers honestly. Callers can ask for a person at any point, and the assistant transfers the call or books a callback from staff.
Can I keep my existing clinic or shop number?
Usually, yes. The common setup forwards calls from your current number to the AI line when the front desk is busy, does not pick up, or is closed. Some businesses send every call to the AI first. The options depend on your telecom provider and phone system, which we check in the free review.
Does an AI receptionist give medical advice?
No. India's Telemedicine Practice Guidelines say AI platforms may not counsel patients or prescribe medicines; only a registered medical practitioner can. Our clinic setups block symptom, diagnosis and medicine questions and pass them to the doctor or front desk. Urgent words trigger an immediate transfer or an emergency message that you approve.
Can it send lab reports on WhatsApp?
We do not set it up to send reports or results. WhatsApp's Business Messaging Policy restricts health information where regulations require extra safeguards. The safer pattern is a neutral message that the report is ready, with a secure link that opens after an OTP to the registered number. Our lab report delivery guide explains the full flow.
Which languages does it speak?
Hindi, Marathi and English, including Hinglish and mixed sentences, which is how most callers in Mumbai, Thane and Pune speak. Other Indian languages are possible depending on the voice platform chosen. We test the scripts with real recordings from your line before go-live and adjust words that the assistant mishears.
Does it work with my practice or salon software?
If your software can read and write appointments through an API or calendar sync, we connect to it directly. Google Calendar and booking sheets are simple. Older desktop software sometimes has no connection at all, and then we suggest a shared calendar that your staff and the assistant both use.
What happens if the AI does not understand a caller?
It asks once more in simpler words, reads back what it heard, and if it still cannot follow, offers a callback or transfers to staff. Every such call is logged. In our monthly review, we look at these calls and add the missing questions or words to the script so the same gap does not keep repeating.
Can it send appointment reminders?
Yes, by WhatsApp, SMS or a short call. WhatsApp reminders need the customer's opt-in and an approved template. SMS reminders need a registered header and a registered service template under TRAI rules. Automated reminder calls must be declared in advance to your telecom provider. We handle each registration with you before the first reminder goes out.
Is call recording allowed, and who can hear it?
We play a short notice at the start of each call that it may be recorded, and record only for quality checks and booking disputes. Recordings stay in accounts your business owns, with access limited to the people you choose. Under the DPDP Rules you should state the purpose clearly and decide how long recordings are kept.
How long does setup take?
It depends on the channels you want, how your bookings are stored and which registrations are needed. WhatsApp template approvals and SMS registrations follow Meta and telecom timelines we do not control. After the free review you get a written plan, and we go live only after testing on real calls with your staff.
