What a CA Firm Needs Online, Beyond a Website

A chartered accountant's year runs on due dates. GST returns every month or quarter, TDS returns every quarter, advance tax instalments, ITR season, tax audits, ROC filings for company clients. Each deadline needs documents from the client, work by an article assistant or staff member, review by a manager, and sign-off by a partner. In most small and mid-size firms this is held together by WhatsApp groups, email threads, Excel sheets and the memory of two or three senior people.

The pain is predictable. Clients send Form 16 and bank statements in July as blurry photos on WhatsApp, the same file is asked for twice, a junior misses that a client's DSC has expired, and fee invoices from last year are still unpaid because nobody followed up. A client portal and a practice system fix this. Each client sees a clear checklist of what is needed, uploads it once, and gets reminders automatically. Your team sees every pending task, who owns it and what is stuck.

This page is for proprietor CAs, partnership firms, tax consultants and accounting outsourcing firms with anywhere from a few hundred to a few thousand clients. You may already use Tally, filing software and a GST tool. We do not replace those. We build the layer around them: the website, the client-facing portal and the internal tracker.

Infoways builds this software from Mahape in Navi Mumbai for CA and tax practices in Mumbai, Thane, Pune and across India.

Problems We Fix

Where CA Firms Lose Time and Fees

Each of these costs partner hours every single month.

Documents scattered across WhatsApp

Each service has a document checklist. Clients upload into the portal, files are named and filed against the client and year, and the team sees what is still missing.

Missed or late due dates

Recurring tasks are created for every client on the right frequency, monthly, quarterly or yearly. Reminders go to the client for documents and to staff before the deadline.

Expired DSCs at the last minute

Digital signature certificates are logged with holder and expiry date, and the system warns you weeks before, so a filing is never blocked on the last day.

No view of who is doing what

Partners see every task by stage: awaiting documents, in preparation, under review, filed. Overdue items and overloaded staff stand out straight away.

Fees that never get collected

Invoices are raised per engagement or as a monthly retainer, with UPI payment links and reminders. The outstanding list shows every unpaid bill by age.

Client data on personal phones

PAN, Aadhaar, bank statements and financials sit in one secure store with role-based access, instead of on staff phones and personal email.

Practice Software Subscription, Your Own Portal, or Website Only?

Many firms do well on a subscription. Your own system makes sense when your workflow or client mix is unusual.

Worked Example: ITR Season at a Thane CA Firm

Say you are a three-partner firm in Thane with about 900 individual tax clients, 250 GST clients and a dozen audit clients, run by eight staff and six article assistants. These numbers are only an illustration.

In the first week of the ITR season, the system creates one ITR task for each individual client and sends each one a WhatsApp message with a portal link. The checklist depends on the client type you set: a salaried client sees Form 16 and bank interest certificates; a client with shares sees the capital gains statement; a rental income client sees rent details and home loan interest. Clients upload photos or PDFs from their phone. Files land under the client name and financial year.

When the checklist is complete, the task moves to "ready for preparation" and is given to an article assistant. She prepares the computation, matches it with AIS and Form 26AS, and moves the task to review. The manager checks, the partner approves, and the return is filed in your usual filing software. The acknowledgement is uploaded back to the portal, the client gets a WhatsApp message reminding them to e-verify, and the fee invoice goes out with a UPI link at the same time.

Through July, the dashboard shows how many returns are awaiting documents, in preparation, in review and filed, and which staff have too much on their plate. Clients who have not uploaded get automatic reminders, so your staff are not calling them one by one. By the end of the season you have a clean record of every return, every document and every fee, ready for next year.

How We Build It

How Infoways Builds Software for a CA Practice

  1. 01

    Map your services and deadlines

We list every service you offer, its frequency, documents needed, review stages and who signs off. This becomes the rule set the system runs on.

  2. 02

Design the client and staff screens

Clients need a simple upload screen that works on any phone. Staff need a dense task list. You approve both as clickable designs.

  3. 03

Build portal, app and practice admin

One backend runs the website login, client app, staff task tracker and billing, with role-based access for partners, managers, staff and articles.

  4. 04

    Import clients and recurring work

We import your client master with PAN, GSTIN and service list from Excel, set up recurring tasks and test with a small group of friendly clients first.

  5. 05

    Launch and train your team

Apps go live under your developer accounts, WhatsApp templates are approved, and we train staff and articles in a short session.

  6. 06

    Search visibility within the rules

Local SEO and helpful tax-update articles, written to stay informational, so people searching for a CA in your area can find your firm.

Cost and Timeline for CA Firm Software

A CA firm website with services, partner profiles, contact details and a due-date page typically costs Rs 1-4 lakh. A client portal with document upload, task tracking, reminders and fee billing is a mid-complexity build, usually Rs 4-12 lakh. A larger system for a firm with several branches, an outsourcing desk serving many companies, or detailed time-sheet based billing can go beyond that. All figures are typical ranges, GST extra, and depend on scope.

The main cost drivers are the number of service types, how many review stages each one has, whether you need time tracking per staff member, and how deep the links to your accounting software go. A typical build takes two to four months, and it is worth launching before ITR season rather than in the middle of it. Plan for yearly upkeep of 15-25% of the build cost. Our guides on CRM development and app development cost in India explain how this kind of budget is built up.

ICAI Guidelines, Common Mistakes, and When to Wait

The ICAI Code of Ethics limits how chartered accountants may advertise and solicit work, and the ICAI has issued guidelines on what a CA firm website may contain. We build the website to inform, not to sell: services described plainly, partner qualifications, office details and useful tax updates, without claims of being the best or promises of results. You or your partners should check the final content against the current ICAI guidelines before it goes live, and we will change anything you flag.

The common mistake on the software side is buying or building a big system and then letting clients carry on with WhatsApp. Pick one season, usually ITR, and move every client of that service to the portal. Another is skipping access control, so a former article still has files on his phone. If you are a proprietor with a small client base, a good website and a well-run Google Business Profile plus a subscription tool may be enough for now. Build your own system when your staff count, client count or service mix outgrows standard tools.

CA Firm Software: Questions Partners Ask

Will this file GST or income tax returns for us?

No. Filing stays in your GST portal login and your usual filing software. Our system handles the work around it: documents, tasks, reviews, reminders and billing.

Can clients upload documents without installing an app?

Yes. Clients can use a secure web link from WhatsApp or email. The app is optional for clients who prefer it.

How are due-date reminders set up?

Each service has a frequency and a standard due date. Your team can change a date for everyone when a deadline is extended, and reminders follow the new date.

Can article assistants see all client files?

Only if you allow it. Access is by role and by assigned client, and every file opened is logged.

Can we bill monthly retainers and one-off work?

Yes. Retainers are raised automatically each month, and one-off fees are raised when a task is completed, each with a UPI payment link.

Does it track DSC expiry?

Yes. Each DSC is logged with its holder, class and expiry date, and the system alerts the client and your staff before it expires.

Is the website allowed under ICAI rules?

CA firms can have a website within the ICAI guidelines. We keep it informational, and your partners confirm the final content against the current guidelines before launch.

Where is client data stored?

On a server or cloud account in your firm's name, encrypted, with backups. We follow the DPDP Act 2023 for consent and access to personal data.

We already use a practice tool. Can you move our data?

If it exports clients, tasks and invoices to Excel or CSV, yes. We import it, check it with your team and run both systems side by side for a short period.
