How a due ages

One unpaid bill, from the day it is raised to a recovery notice

  1. 1stTreasurer

    Bill raised

The month’s bill posts to the flat’s ledger and shows on the member’s Payments screen with a due date and a Pay via UPI button.

  2. Due dateAutomatic

The flat joins the dues list

Unpaid and part-paid bills show on the Defaulters page with the outstanding amount and the date of the last payment.

  3. After grace daysAutomatic

    Interest by your rule

The monthly late fee job raises interest as a separate bill by the method your society picked. Interest is never charged on interest.

  4. Any timeCommittee

    A reminder goes out

Send a WhatsApp reminder from the bill, copy a ready message, or send SMS reminders to every flat on the list once SMS is set up.

  5. 3 monthsAutomatic

    Marked chronic

A flat overdue three months or more is flagged chronic and counted at the top of the page.

  6. BeyondSecretary

    Demand letter and recovery ladder

Print a demand letter with interest to date, then record each notice issued, up to a Section 101 recovery certificate, with its date and dispatch note.

Every society has a few flats that stop paying, and the committee usually learns how much they owe only when the auditor adds it up.

The pattern is familiar. A flat misses one month, then two. Reminders go out from the secretary’s personal phone when someone remembers. Interest is worked out differently each time, so the member disputes it. By the time the committee decides to send a legal notice, nobody can say for certain which reminders went out, on which dates, or what the correct amount is.

SocietyConnect keeps that history in one place. The amount owed comes from the ledger, interest follows one rule set in advance, every reminder can go out in a couple of taps, and each recovery notice is recorded against the flat with its date. When the matter reaches the general body or the Registrar, the committee has a clean record. Our guide on recovering society maintenance from defaulters explains the wider process.

The defaulters page

Highest dues first, with how long each flat has owed

The page opens with three numbers: flats with dues, the total outstanding and how many are chronic. Below is the list, highest amount first, with the months overdue and the date each flat last paid.

Filter by a minimum amount or a minimum number of months to focus the committee meeting on the flats that matter. Export the list as CSV for the auditor or for your lawyer.

  • Reminder copies a polite message with the flat, name and amount
  • Send SMS reminders messages every flat on the filtered list with a phone number
  • Chronic flags anyone three months or more behind
Reminders

Four ways to remind a member, from gentle to formal

WhatsApp from the bill

On the Bills page, the WhatsApp button opens a chat with the member’s number and a reminder already written. Flats with no phone on record are listed so you can add one.

Copy a ready message

On the Defaulters page, Reminder copies a message with the member’s name, flat, amount and months overdue, to paste wherever you like.

SMS to the whole list

Send SMS reminders to every flat on the filtered list in one go, once the society’s approved SMS template is set up.

Demand letter

Print a formal demand letter on the society’s letterhead with the dues and interest accrued to date, ready to send by RPAD.

The recovery ladder

Each recovery stage, recorded against the flat with a date

The Recovery page lists every flat with dues and its latest stage. Recording a notice moves the flat to the next stage and writes it to the audit trail.

StageWhat SocietyConnect recordsWhat happens outside the app
Demand noticeDate, amount and a note such as the RPAD acknowledgement numberDispatch of the letter

Reminder 2Date, amount and noteDispatch of the reminder

Section 101 of the Maharashtra Co-operative Societies Act has its own conditions and procedure. SocietyConnect keeps the record; it does not file anything with the Registrar. Confirm each step with your adviser or lawyer.

Who does what

Who handles a defaulting flat

Treasurer

  • Watches the dues list and the chronic count
  • Sets the interest method and grace days
  • Exports the list for the committee

Secretary

  • Sends reminders and demand letters
  • Records each recovery notice with its date
  • Prints the flat’s statement of account

Member

  • Sees the total outstanding on the phone
  • Pays by UPI or reports a payment
  • Gets a notification when the payment is confirmed

What the member sees

The member sees the same number the committee sees

Many disputes start because the member and the committee are looking at different figures. In SocietyConnect the member’s Payments screen shows the same outstanding total that sits in the ledger, each bill with its month and due date, and a way to pay it at once.

When the member pays and reports it, the amount is marked awaiting confirmation, so a reminder sent that evening does not count it as unpaid by mistake.

Fair and on record

Rules that keep recovery fair and easy to defend

  • Interest follows one method set in advance, capped at 21% a year simple, and never charged on interest
  • Late fee bills never earn interest themselves
  • Payments clear the oldest dues first
  • A wrongly charged late fee is removed with a credit note that stays on record
  • Demand letters and statements show interest accrued but not yet billed, separately
  • Each recovery notice is dated and logged in the audit trail
  • The defaulter list exports as CSV
  • Members see their own dues only, never another flat’s
Straight answers

What it does not do yet

Plan your recovery process around these.

  • There is no automatic reminder schedule yet. A committee member sends each round of reminders.
  • SMS reminders need an approved SMS template for the society. Until that is in place, use WhatsApp or copied messages.
  • SocietyConnect does not block amenity bookings or other services for defaulters. Whether you may restrict services is a legal question; confirm with your adviser.
  • There is no automatic phone call to a defaulting member.
  • The Section 101 application and hearing happen outside the app. SocietyConnect records the stages.
  • The apps are not on the Play Store or App Store yet. We share the Android app with your society during setup, and iPhone users use the web portal.

FAQ

Dues and defaulters: common questions

How does SocietyConnect track maintenance defaulters?

Every unpaid or part-paid bill feeds the Defaulters page, which lists each flat with its outstanding amount, months overdue and last payment date, highest first. Flats three months or more behind are flagged chronic.

Can we send dues reminders from SocietyConnect?

Yes. Send a WhatsApp reminder from the bill, copy a ready message from the Defaulters page, or send SMS reminders to the whole filtered list once the society’s SMS template is approved. There is no automatic reminder schedule yet.

How much interest can a society charge on arrears?

SocietyConnect caps the setting at 21% a year simple interest, or 1.75% a month, and never charges interest on interest. Your own bye-laws and general body resolution decide the actual rate, so confirm it with your adviser or auditor.

Does SocietyConnect file Section 101 recovery?

No. It records each stage, from the demand notice to the Section 101 recovery certificate, with dates and notes. The application to the Registrar is made outside the app, usually with a lawyer.

Can we put defaulters’ names on the notice board?

SocietyConnect does not publish a defaulter list to members; each member sees only their own dues. Whether a society may display names is a legal and privacy question, so take advice before you do it.

Can a defaulter dispute the amount?

The committee can print a statement of account showing every bill, payment and interest charge in date order. A wrong charge is corrected with a credit note that stays on record.

Is it free to try?

Yes. Every module is free for 90 days, with no card needed and nothing charged automatically. After that we give a written quote.
