Stop Policy Lapses: A Renewal Reminder System for Insurance Agents
Most lapses come from forgotten dates rather than decisions, so a client-policy list with one reminder schedule per product, sent on the right channel and tracked to the insurer’s receipt, protects both your clients and your renewal commission.
A family floater health policy comes due on the 10th. The client is travelling, the insurer’s reminder email lands in a promotions folder, and the agent has 400 other policies in a diary. Nobody notices until the client’s mother is admitted on the 52nd day and the hospital desk says the policy is not active. The family is angry, the agent loses the client, and the renewal commission on that policy is gone for every year it would have run.
Almost every agent has a version of that story. The client did not decide to drop the cover. The date simply passed. This guide sets out a policy renewal reminder system an agent or agency can run starting this week: the grace rules by product as IRDAI’s 2024 master circulars state them, a client-policy list, a reminder schedule, the channels and their rules, payment, tracking, and what to automate first. I run a software company that builds sales and reporting systems, so I will also say where software earns its place and where a spreadsheet is enough.
Why do insurance policies lapse?
Most policies lapse because nobody reminded the client at the right time, on a channel they read, with an easy way to pay. Genuine decisions to drop cover, because of money or a better offer, are a smaller share in most agents’ books.
When agents talk to us about renewals, the reasons fall into a few groups. Each has a different fix, which is why a single reminder from the insurer is rarely enough.
| Reason | What it looks like | What fixes it |
|---|---|---|
| Forgot the date | Annual premium, no reminder seen | Early, repeated reminders on WhatsApp and SMS, plus a call |
| Reminder went to the wrong place | Old phone number, spam folder, the spouse handles bills | Clean contact data; a second contact per household |
| Payment friction | Client meant to pay, did not find the link, card expired | Send the insurer’s own payment link with the reminder |
| Cash flow | Large annual premium falls in a tight month | Remind 60 days out; discuss mode change at the next renewal |
| Doubts about value | “I never claimed, why pay?” | A call from the agent, not a message |
| Better offer elsewhere | Motor client renews online with whoever shows up first | Reach them before the comparison sites do, with a fresh quote |
| Agent left | Advisor quit, nobody owns the client | Client book held by the agency, reassigned the same day |

1. The renewal calendar by product: grace periods and what happens after
Life and health premiums have a 15-day grace period for monthly payment and 30 days for other modes. Motor has no regulatory grace period. What happens inside and after the grace period differs by product, so each needs its own reminder plan.
Life insurance
Paragraph 8 of IRDAI’s Master Circular on Life Insurance Products (12 June 2024) gives a grace period of 15 days where the premium is paid monthly and 30 days where it is paid quarterly, half-yearly or annually. During grace “the policy is considered to be in-force” and risk cover continues. After grace, the policy’s own lapse, paid-up and revival terms apply. For unit-linked policies discontinued in the lock-in period, paragraph 40.1 says risk cover ceases after the grace period and the policyholder gets a three-year revival period.
Health insurance
The Master Circular on Health Insurance Business (29 May 2024) sets the same 15 and 30 days. Paragraph 8 adds the point that matters most to clients: if the policy is renewed during grace, all credits are protected, including sum insured, no-claim bonus, specific waiting periods and the waiting period for pre-existing diseases. Paragraph 9 says coverage is available during grace where the premium is paid in instalments. For a client paying one annual premium, read the policy wording on cover between the due date and payment, and do not let them assume they are covered in that gap.
Paragraph 10 is useful when a client hesitates. An insurer cannot deny renewal because the policyholder made claims in earlier years, and cannot do fresh underwriting unless the sum insured goes up. Clients who claimed last year sometimes fear rejection; you can tell them plainly that a claim is not a reason to refuse renewal.
Motor insurance
Motor cover ends on the expiry date. Insurers call the period after expiry a break-in. Bajaj General’s explainer notes that you cannot claim while the policy is expired, that late renewal can mean a fresh vehicle inspection, and that the accumulated no-claim bonus is lost if the break-in window runs out, with the window varying by insurer. Third-party cover is compulsory under the Motor Vehicles Act 1988, so an expired policy also leaves the client driving illegally. For motor, the due date is the deadline.
| Product | Grace period | During grace | If missed | When to start reminding |
|---|---|---|---|---|
| Life, monthly premium | 15 days | Policy in force, cover continues | Lapse, paid-up or discontinuance per policy terms; revival per terms (ULIP: 3 years) | 15 days before due |
| Life, quarterly / half-yearly / annual | 30 days | Policy in force, cover continues | As above | 30-60 days before due |
| Health, instalment premium | 15 days monthly, 30 days other modes | Coverage available; credits protected if renewed | Policy ends; waiting-period credits can be lost | 15-30 days before due |
| Health, annual renewal | 30 days | Credits protected if renewed; check wording on cover in the gap | New policy may restart waiting periods | 60 days before due |
| Motor (car, two-wheeler, commercial) | None by regulation | No cover after expiry | Inspection may be needed; NCB at risk; illegal to drive without third-party cover | 60 days before expiry |

2. Build the client-policy list first
A reminder system is only as good as the list behind it. You need one row per policy, linked to a household, with the renewal date, premium mode, contact numbers and the client’s consent to be messaged.
Most agents start with exports from each insurer’s agent portal, plus whatever lives in a diary and on the phone. Merge them into one sheet. The step that takes longest is the one that matters most: checking renewal dates and phone numbers. When we load client data for any sales system, the first sample usually has wrong or missing dates on a noticeable share of rows, and every wrong date becomes a missed renewal once reminders are automated.
| Field | Why it matters |
|---|---|
| Household ID and primary contact | Groups the family so one call covers all their renewals |
| Policyholder name and second contact (spouse, child) | The person who pays is often not the policyholder |
| Mobile number, WhatsApp opt-in (yes/no, date) | You may only WhatsApp people who opted in |
| Insurer, product, policy number | Needed for the payment link and the insurer’s records |
| Product type and premium mode | Decides grace period and reminder plan |
| Due or expiry date | The anchor for every reminder |
| Premium amount (insurer’s figure) | Quote the insurer’s renewal notice, never your own estimate |
| Advisor and agent code | Who owns the call; commission credited correctly |
| Renewal status and receipt or new policy number | Only this marks a renewal done |
| Notes and do-not-contact flag | Respect clients who asked not to be messaged |

The list holds personal data, and health details are sensitive. Under the DPDP Act 2023 and the DPDP Rules notified in November 2025, collect it for a clear purpose with consent, keep it out of shared WhatsApp groups, and limit who can see it. An Excel file on a personal laptop with no password is the most common weak point we see.

3. The reminder schedule: 60, 30, 15 and 7 days, then grace
Use one fixed schedule per product: an early heads-up at 60 days, a quote and payment link at 30, a call at 15, a final reminder at 7, and daily follow-up through any grace period. Fixed dates mean nothing depends on someone remembering.
The schedule below is the one I suggest to agents. It is our recommendation, not a rule, and you should tune it to your clients. The 60-day step matters most for motor and annual health, because it reaches the client before comparison sites and insurer direct offers do, and gives time to arrange a large annual premium.
| When | Motor | Health (annual) | Life (annual / half-yearly) | Life and health (monthly) |
|---|---|---|---|---|
| 60 days before | WhatsApp heads-up; ask about changes (new car, address) | WhatsApp heads-up; ask about members to add or sum insured | WhatsApp heads-up | Not needed |
| 30 days before | Fresh quote and insurer payment link | Insurer’s renewal notice and payment link | Premium reminder with payment link | Not needed |
| 15 days before | Advisor call | Advisor call | SMS plus WhatsApp | Auto-debit check; reminder if paid manually |
| 7 days before | Final WhatsApp and SMS; call if unpaid | Final WhatsApp and SMS | Advisor call if unpaid | Reminder 3 days before |
| Due date | Last chance before cover ends | Grace starts: say how many days remain | Grace starts | Grace starts (15 days) |
| During grace | No grace: escalate to manager the same day | Every 3-5 days, then daily in the last week | Every 5-7 days, then daily in the last week | Every 3 days |
| After grace or expiry | Inspection and re-quote; record as lost or revived | Record as lost; offer fresh cover; note credits lost | Explain revival terms; record status | Explain revival; record status |
Source: Infoways recommended schedule. Grace periods from IRDAI life and health master circulars (2024); motor break-in from insurer sources. Adjust frequency to client preference and opt-out requests.
Two rules make the schedule work. First, a renewal is done only when the insurer’s receipt or new policy number is recorded, never when the client says “I will pay tonight”. Second, every message stops as soon as payment is confirmed. Nothing irritates a client more than a reminder the day after they paid.
4. Channels: WhatsApp, SMS and calls, and their rules
Use WhatsApp for clients who have opted in, SMS as a backup, and calls for the steps that need a person. Each channel has its own rules: Meta’s opt-in and template policy for WhatsApp, TRAI’s commercial communication rules for SMS and calls, and the 1600 and 140 series for voice.
WhatsApp: opt-in and templates
The WhatsApp Business Messaging Policy says you may contact people only if they have given you their number and you have received opt-in permission confirming they wish to receive your messages. You must respect any request to stop, made on or off WhatsApp. On the WhatsApp Business Platform, you can start a conversation only with an approved message template, and outside the 24-hour customer service window only templates can be sent. In practice, a renewal reminder is a short template with blanks for the client’s name, policy, due date and payment link.
Keep templates factual: “Your health policy with [insurer], policy [number], is due for renewal on [date]. Renewal premium as per insurer notice: [amount]. Pay securely on the insurer’s page: [link]. Reply STOP to opt out.” No product claims, no offers. Our WhatsApp marketing guide covers the Business app versus the API and how to collect opt-ins.
SMS: registered headers and templates
Commercial SMS in India go through TRAI’s DLT system, with a registered sender header and registered message templates, usually set up through your SMS provider. Paragraph 6.2 of IRDAI’s June 2024 operations master circular says insurers and intermediaries sending commercial communications must meet TRAI’s requirements. If you send SMS through a provider, ask them to register a service template for renewal reminders and keep promotional messages separate.
Calls: 1600 series for service, 140 for promotion
TRAI’s press release of 10 July 2026 confirms that 1600xx numbers are mandated for service and transaction calls by entities regulated by RBI, SEBI, IRDAI and PFRDA to their existing customers, and that such calls cannot be tagged, blocked or filtered. Promotional calls must come from 140xx numbers, which customers can block by sector through the DND registry. IRDAI’s circular of 6 January 2026, as reported by Taxmann, applied the 1600 series to insurers and intermediaries for service and transactional calls from 15 February 2026.
What this means for an individual agent calling a client from a personal mobile is not spelled out in the texts I read. For agencies, corporate agents and brokers running a calling team or cloud telephony, set it up with your telephony provider and compliance officer: renewal calls on the series they confirm, and no promotional calling to clients who blocked insurance on DND.
| Channel | Best for | Rule to follow | Watch out for |
|---|---|---|---|
| WhatsApp (Business app or API) | 60, 30 and 7-day reminders; payment link; receipt confirmation | Opt-in required; honour opt-outs; approved templates on the API | Messaging clients who never opted in; free-text product claims |
| SMS | Backup for clients not on WhatsApp; final reminders | TRAI DLT: registered header and template | Unregistered templates get blocked |
| Phone call | 15-day call; grace-period follow-up; doubts about value | Service calls on the series your compliance team confirms; DND for promotion | Calling to sell new products under the cover of a renewal call |
| Insurer renewal notice PDF; records | Consent and an unsubscribe option | Low read rates; never the only channel | |
| Insurer’s own reminders | Formal renewal notice | Insurer handles compliance | Clients often ignore them; do not rely on them alone |

5. Payment links: make paying the easiest step
Send the insurer’s own renewal payment link with the 30-day and 7-day reminders, so the client pays the insurer directly in two taps. The fewer steps between reading the reminder and paying, the fewer renewals slip.
Most insurers let agents generate a renewal payment link or share a quick-renew page from the agent portal. Use that, so money goes straight to the insurer and the receipt comes from the insurer. I would not collect renewal premiums into your own account to “help” a client; it confuses the record, delays the receipt and is the kind of thing insurers ask about.
- Quote the premium from the insurer’s renewal notice, not your own calculation. Since 22 September 2025, individual life and health premiums are exempt from GST, while motor still carries GST, so old figures in your sheet may be wrong.
- Check monthly-mode clients’ auto-debit or UPI mandate a week before each due date, especially after a card or bank change.
- When the client pays, ask for the receipt screenshot or check the insurer portal the same day, then mark the renewal done with the receipt or policy number.
- For motor, if the vehicle or address changed, get a fresh quote before sending a link, or the renewal may need an endorsement later.
6. Track your renewal rate every month
Track renewal rate as policies renewed divided by policies that fell due in the month, split by product and advisor. Look at it monthly, with the list of policies still in grace, because that list is the business closest to being lost.
A number on its own means little. What helps is the split. Motor and health behave differently, and a single advisor’s falling rate usually means calls are not being made. A fall across the whole book in one product often means one insurer changed its pricing.
| Metric | How to calculate | What it tells you |
|---|---|---|
| Renewal rate | Renewed ÷ due in the month, by product and advisor | Whether the reminder system is working |
| Renewed before due date | Share of renewals paid before the due date | Whether the 60 and 30-day steps are landing |
| Policies in grace today | Count and premium value, with days left | Who to call first this morning |
| Lost reason | Reason code on every lapsed policy | Whether to fix contact data, payment, price or service |
| Persistency by cohort (life) | Of policies sold in a month, share still paying 13 months later | Quality of selling and future renewal commission |
| Commission received vs expected | Renewal commission statement vs renewed policies | Short payments by the insurer |
Source: Infoways metric set, used in sales reporting systems we build. Formulas are standard; targets depend on your book.
An illustration only: an agent with 1,200 policies might see about 100 fall due in a month. If 85 renew, that is 85%. If the 60-day step and a payment link lift that to 92, seven more households keep their cover that month, and the agent keeps renewal commission on seven more policies for every future year they run. The figures are invented to show the arithmetic, not a benchmark.
7. Protecting commission income
Renewal commission is income you have already earned the right to, so a lapse is a direct loss. The reminder system protects it, and a monthly check of insurer commission statements against renewed policies catches what the system cannot.
Since April 2023, each insurer pays commission under its own board-approved commission policy, so there is no single rate table across insurers. That makes checking harder, not optional. When statements arrive, match each renewed policy against the statement line. The usual gaps are a renewal missing from the statement, a renewal paid at the wrong rate, or a policy credited to the wrong agent code after a servicing change. Raise each with the insurer’s channel team with the policy number and receipt.
For agencies, there is a second risk: the client book walking out with an advisor. If renewals live in each advisor’s phone, the agency has no way to reassign them on the day someone leaves. Keep the list centrally, owned by the agency, with each policy assigned to an advisor who can be changed in one step.
8. What to automate first
Automate the reminders before anything else: a list that knows every due date and sends the 60, 30, 7-day and grace messages on its own, with call tasks for the advisor. That is where the quickest gains are. Commission checks, dashboards and lead management can follow.
- Reminder engine: due dates from the client-policy list drive WhatsApp and SMS templates automatically, and stop the moment a receipt is recorded.
- Call tasks: the advisor’s phone shows today’s 15-day calls and grace cases, sorted by days left, with click-to-call and WhatsApp from the record.
- Grace list: every policy past due, with days remaining in red, visible to the advisor and the manager at the morning huddle.
- Receipt capture: a renewal is marked done only when the receipt or new policy number is entered or matched from the insurer’s data.
- Renewal dashboard: renewal rate by product and advisor, lost reasons, and policies in grace, updated daily.
- Commission match: insurer statements loaded and matched to renewed policies, with a gap list for the back office.
For a single agent with a few hundred clients, a ready-made agent CRM with WhatsApp reminders is often enough, and I would start there. Check that it holds policies from every insurer you sell, sends from your own WhatsApp Business number, and lets you export all your data. Agencies with a layered team, branches and their own incentive rules usually outgrow that and want reminders, call tasks, daily plan vs actual and commission checks in one place. Our page on CRM and renewal software for insurance agents sets out what that looks like, and the guide on custom software vs off-the-shelf helps with the choice.
Where this advice breaks down
- Policy wording beats general rules. The grace periods above come from IRDAI’s 2024 master circulars, but cover during grace for an annual health premium, life revival terms and motor break-in practice depend on the policy and the insurer. Check the wording before telling a client what is covered.
- Motor timelines vary. Insurers describe break-in windows and NCB retention differently. Treat the expiry date as the deadline and do not promise a client a grace period on motor.
- Calling rules are still settling. TRAI and IRDAI moved service calls to the 1600 series in 2026, and TRAI has been consulting on further changes to its commercial communication rules. Agencies with calling teams should confirm their set-up with their telephony provider and compliance officer.
- More messages is not always better. Clients who renew on the first reminder do not need five more. Stop the sequence on payment, and honour opt-outs at once.
- Automation cannot fix a bad list. If dates and numbers are wrong, automated reminders fail faster. Clean the data first.
Renewal system checklist
- One client-policy list with product type, premium mode, due date and opt-in for every policy.
- A fixed reminder schedule per product: 60, 30, 15, 7 days, then grace.
- WhatsApp templates sent only to opted-in clients; SMS on registered templates.
- Insurer payment links sent with the 30-day and 7-day reminders.
- Renewal marked done only with the insurer’s receipt or new policy number.
- Grace list checked every morning; motor treated as no-grace.
- Renewal rate, lost reasons and commission gaps reviewed every month.
The family floater that lapsed on day 52 would have been renewed on day 30 with one WhatsApp message and a link. The client never needed persuading. They needed someone to remember the date, and that is the one job a system does better than any diary.
Frequently asked questions
What is the grace period for a health insurance renewal in India?
Under IRDAI’s Master Circular on Health Insurance Business (May 2024), the grace period is 15 days for monthly instalments and 30 days for quarterly, half-yearly or annual premiums. If the policy is renewed within grace, credits such as no-claim bonus and waiting periods for pre-existing diseases are protected. Check the policy wording on cover between the due date and payment.
What is the grace period for a life insurance premium?
IRDAI’s Master Circular on Life Insurance Products (June 2024) gives 15 days for monthly premiums and 30 days for quarterly, half-yearly or annual premiums. The policy is treated as in force during grace and risk cover continues. After grace, the policy’s lapse, paid-up and revival terms apply.
Is there a grace period for motor insurance renewal?
No regulatory grace period. Motor cover ends on the expiry date, you cannot claim while it is expired, and late renewal may need a vehicle inspection. The no-claim bonus can be lost if renewal is delayed beyond the insurer’s window. Third-party cover is compulsory under the Motor Vehicles Act, so renew before expiry.
How many days before renewal should an agent remind the client?
Start 60 days before the due date for motor and annual health policies, then remind at 30, 15 and 7 days, and follow up through any grace period. For monthly premiums, a reminder a few days before each due date and an auto-debit check are usually enough.
Can I send policy renewal reminders on WhatsApp?
Yes, if the client has opted in to receive messages from you. The WhatsApp Business Messaging Policy requires opt-in, and you must honour any request to stop. On the WhatsApp Business Platform, messages outside the 24-hour window must use approved templates. Keep reminders factual, with the insurer’s payment link.
Which number series should insurance renewal calls come from?
TRAI has mandated 1600-series numbers for service and transaction calls by IRDAI-regulated entities to existing customers, and IRDAI applied this to insurers and intermediaries from 15 February 2026. Promotional calls must come from the 140 series and respect DND. Agencies should confirm set-up with their telephony provider.
Can an insurer refuse to renew my health policy because I made a claim?
No. IRDAI’s health master circular says an insurer shall not deny renewal on the ground that the policyholder made claims in earlier years, and cannot do fresh underwriting unless the sum insured is increased. Renewal can be refused only in cases such as established fraud, non-disclosure or misrepresentation, or if the product is withdrawn, with migration options offered.
