Monthly Gym Memberships with UPI AutoPay: How to Set Up Auto-Debit

Monthly auto-debit trades a big January cheque for steadier income and fewer refund fights. It works when you follow RBI’s mandate rules, plan for failed debits and make cancelling as easy as joining.

Picture a typical gym in Thane. Every January it sells forty yearly memberships in two weeks, mostly on a big upfront discount. The owner feels rich for a month. By April, a third of those members have stopped coming, two are asking for refunds because they moved to Pune, and May’s rent has to come from a gym that sold almost nothing new since February. Owners in Navi Mumbai describe the same curve to me every year: a spike, then a long, worried dip.

This post answers one practical question: how do you move members onto monthly memberships paid by UPI AutoPay, and set it up so it runs without fights? I am Amol Bonde, founder of Infoways, a Navi Mumbai company that builds gym member apps and billing systems. Auto-debit is one of the features owners ask about most, and one of the easiest to get wrong, so this covers the rules, the failed payments and the paperwork, not just the button.

1. Should a gym sell monthly auto-debit or yearly upfront memberships?

Sell monthly auto-debit if you want steadier monthly income, fewer refund disputes and members who stay because they use the gym. Keep yearly upfront plans if you need cash now for equipment or a fit-out, or your members strongly prefer one payment. Many gyms offer both and let the price difference do the persuading.

My opinion: monthly auto-debit is the healthier default for most neighbourhood gyms and studios, with a yearly plan offered for those who want it. It forces the gym to keep members happy every month, which is the real job anyway. But it is not free money. A cancelled mandate is just as final as a member who never renews, only quicker.

2. How does UPI AutoPay work for a gym membership?

UPI AutoPay lets a member approve a recurring payment once in their UPI app, after which the gym’s payment gateway collects the monthly fee automatically on the agreed date. The member sees the mandate in their UPI app, gets a notice before each debit, and can pause or cancel it from there.

  1. The gym creates a monthly plan in its payment gateway account: amount, frequency, start date and end date.
  2. The member receives a link or QR (at the desk, on WhatsApp or in the app) and approves the mandate in their UPI app with their UPI PIN. Card members do the same with card authentication.
  3. The first payment is collected with that authentication, as RBI’s framework requires.
  4. Before each later debit, the member’s bank or UPI app sends a notice at least 24 hours ahead, with the gym’s name, amount, date and mandate reference.
  5. On the date, the gateway presents the debit. If it succeeds, the gym’s system issues a receipt and extends the membership by a month.
  6. If it fails, the gateway retries within NPCI’s limits, and the gym follows up (section 5).

One point owners often miss: the mandate must be in the gym’s name, through a gateway account the business owns. A member paying a trainer’s personal UPI ID every month is not auto-debit, it is a habit, and it leaves you with no record, no receipts and no control.

3. What RBI rules apply to gym auto-debit payments?

RBI’s Digital Payments E-mandate Framework, issued on 21 April 2026, governs recurring card, UPI and wallet debits. It requires the member to authorise the mandate, a notice at least 24 hours before each debit, the option to skip a debit or cancel the mandate at any time, extra authentication above ₹15,000 per debit, and no charge to the member for the facility.

RBI e-mandate rules as they apply to a monthly gym plan
RuleWhat RBI’s 2026 framework saysWhat it means for your gym
RegistrationAn e-mandate is registered only after Additional Factor of Authentication (AFA), such as UPI PIN or card OTPThe member must approve it on their own phone; the desk cannot set it up for them
First paymentThe first transaction under an e-mandate needs AFACollect the first month at sign-up with the member present
Per-debit limitRecurring transactions up to ₹15,000 per transaction may run without AFAA monthly fee under this limit is collected automatically; a larger quarterly or PT bundle needs the member to authenticate each time
Pre-debit noticeAt least 24 hours before the debit, with merchant name, amount, date or time, mandate reference and reasonThe bank or UPI app sends it, but your gateway must schedule debits correctly; send your own reminder too
Opt-outThe customer can opt out of any particular transaction or the whole mandate, with AFAA member can skip one month or stop altogether from their phone, without asking you
Modify or withdrawThe customer can change the validity period or withdraw the mandate at any timeDo not promise members a lock-in that the mandate cannot enforce
ChargesNo charges may be levied on the customer for using the e-mandate facilityDo not add an “auto-debit fee” to the member’s bill

NPCI’s timing and retry limits for UPI AutoPay

NPCI, which runs UPI, adds operating rules on top. Under its guidelines of 21 May 2025, effective 1 August 2025, AutoPay debits run only outside peak hours (that is, not between 10 a.m. and 1 p.m. or 5 p.m. and 9:30 p.m.), with one attempt and up to three retries per debit (Legal 500 summary; SCC Times). Your gateway handles this timing, but it explains why a debit may land at 7 a.m. or after dinner, and why a failed debit does not retry forever.

4. How do you set up UPI AutoPay for your gym, step by step?

To set up UPI AutoPay, open a payment gateway account in the gym’s name with subscriptions or recurring payments enabled, create a monthly plan, write the plan terms, and send members a mandate link they approve in their UPI app. Then decide your process for failed debits before the first one fails.

  1. Gateway account. Choose a gateway that supports UPI AutoPay and card mandates. KYC is in the business’s name, with the GSTIN if you are registered. Ask for their published pricing for recurring payments in writing.
  2. Plans. Create one plan per membership type: monthly gym, monthly gym plus classes, and so on. Keep the number small. Every plan you add is a plan the desk has to explain.
  3. Debit date. Pick a debit date that suits members. Many owners use the joining date; some use a fixed date such as the 5th, after salaries. A fixed date makes follow-up easier; a joining date spreads the load.
  4. Terms. Write one page: monthly price including GST, debit date, how to freeze, how to cancel, what happens when a debit fails, and refund rules. The member sees and accepts it before approving the mandate (section 6).
  5. Mandate link. Send the link on WhatsApp or show a QR at the desk. The member approves it on their own phone. Mark the member as “auto-debit active” only when the gateway confirms it.
  6. Reminders. Besides the bank’s 24-hour notice, send your own short message two or three days before the debit: “Your monthly membership of ₹X will be debited on 5 November. Reply FREEZE if you are travelling.”
  7. Reconciliation. Every morning, match yesterday’s gateway settlements to members. A payment the system cannot match is the one that causes an argument three months later.

In our setups, the step owners skip is the last one. The gateway dashboard shows money arriving, so it feels fine. Then a member whose debit failed keeps training for two months because nobody looked, or a member who paid is stopped at the door because the desk register was not updated. The fix is a daily match, done by software or by a person with a checklist.

5. What happens when a gym auto-debit fails?

When a UPI AutoPay debit fails, usually because of low balance, a bank or app outage, or a cancelled mandate, the gateway retries within NPCI’s limit of one attempt and three retries. If all fail, the gym must collect that month manually and decide whether the member keeps access meanwhile.

Failed debits are normal. They are not a sign the member wants to leave. Most are a salary arriving a day late or a phone change. Treat them as a service problem first.

Source: Infoways’ recommended sequence. The grace period is your business choice; we found no rule fixing it. Write it in your terms. NPCI retry limits as reported by Legal 500 and SCC Times.

Two practical cautions. Never message a member about a failed payment in a group chat, and never let the desk announce it at the door within earshot of others. And do not cut access without notice; the member should know from your terms, and from the message, exactly when access pauses.

6. How do you write cancellation and refund terms that hold up?

Write terms the member sees and accepts before paying, that let them cancel future debits as easily as they started them, and that do not impose penalties out of proportion to your actual loss. Consumer law in India treats one-sided terms as unfair, and commissions have refused to enforce no-refund clauses members never saw.

Section 2(46) of the Consumer Protection Act 2019 defines an “unfair contract” to include terms that impose a penalty “wholly disproportionate” to the other side’s loss, let one party terminate unilaterally without reasonable cause, or impose “any unreasonable charge, obligation or condition” that disadvantages the consumer. State and National Commissions can declare such terms void (Vinod Kothari commentary quoting the Act). In a 2026 order on a holiday-club membership, a consumer commission called a no-refund-under-any-circumstances agreement “unconscionable and unfair”, noting the member had not been given the terms, and ordered a refund with interest (Dhruv Kashyap v. Forbcorp, 2026). The same reasoning applies to a gym membership.

The Central Consumer Protection Authority’s 2023 dark pattern guidelines also name the “subscription trap”: making cancellation hard, hidden or forced through a long process (JSA summary). For a gym on auto-debit, the test is simple: can a member stop the next debit as easily as they started it?

Membership terms: what to write, and what to avoid
TopicWrite thisAvoid this
PriceMonthly price including GST, shown before the mandateA lower price on the poster and GST added at the desk
CancellationCancel future debits any time from the UPI app, the member app or one message to the desk; effective from the next cycle“Cancellation only in person, in writing, with 60 days’ notice”
FreezeFreeze up to a stated number of weeks a year, with the debit pausedFreeze allowed only at the manager’s discretion
RefundsPro-rata refund or credit for months not yet started; clear rule for medical or relocation cases“No refunds under any circumstances”
Failed paymentGrace period and when access pausesSilent access cuts or late fees not mentioned at joining

One more reason to be careful: under RBI’s framework, a member can withdraw the mandate at any time anyway. A lock-in clause you cannot collect on only creates disputes. Monthly auto-debit works best when you stop pretending members are locked in.

7. Do you need a GST invoice for every auto-debit?

If your gym is GST-registered, issue a tax invoice or receipt for every monthly debit, carrying your GSTIN and the tax line, just as you would for a desk payment. Good billing software generates it the moment the gateway confirms the payment.

The rate changed recently. Business Today, citing CBIC, reported that gyms and yoga services, grouped with other physical well-being services, moved from 18% GST with input tax credit to 5% without input tax credit from 22 September 2025, and that the 5% rate is mandatory (Business Today, 16 September 2025). Supplements, merchandise and other goods can carry different rates. Confirm the rate for each plan and product with your CA and set it once in your system.

Also agree with your CA how gateway settlements are booked. Gateways usually settle in batches with their fee deducted, so the amount reaching your bank will not match the sum of member payments. Your accounts need both the gross collections and the fees.

8. What should gym software do for auto-debit?

Gym software should link each mandate to the member, extend the membership on every successful debit, issue the GST receipt, flag failed debits with a follow-up list, apply your grace rules at the door, and let members freeze or cancel from the app. Without that link, auto-debit becomes a second set of records nobody trusts.

For a single gym, a ready-made product that ticks these boxes is usually the right choice. A multi-branch brand, or one that wants auto-debit tied to classes, PT packages and its own member app, often needs more control. That is the work behind our gym management app builds, and the first question we ask is always whether you need one at all.

Where this advice breaks down

Monthly auto-debit does not suit every gym. If most of your members are students or daily-wage earners with irregular income, failed debits will be frequent and the follow-up will eat the benefit. A prepaid monthly plan paid at the desk by UPI, with a reminder, may work better.

Some members will not set up a mandate at all. They distrust auto-debit or have had a bad experience. Keep a manual monthly option and a yearly option; forcing everyone onto auto-debit loses members you could have kept.

Cash flow changes in the switch. If you move from yearly to monthly, the January lump shrinks before the monthly income builds. Plan for a few thin months.

Finally, the rules summarised here are my reading of RBI’s April 2026 framework, NPCI’s 2025 guidelines and the consumer law as of October 2026. Gateways implement them in slightly different ways, and details change. Confirm current limits and flows with your gateway, and your terms with a lawyer.

Do this well and next January’s spike matters less, because April, May and June are paying the rent on their own.

Frequently asked questions

Can a gym take monthly fees through UPI AutoPay?

Yes. The gym sets up a recurring plan with a payment gateway, the member approves the mandate in their UPI app with their UPI PIN, and the fee is collected each month. The member gets a notice at least 24 hours before each debit and can cancel the mandate at any time.

What is the UPI AutoPay limit without OTP or PIN?

Under RBI’s E-mandate Framework of 21 April 2026, recurring transactions up to ₹15,000 per transaction can be processed without additional authentication, once the mandate is registered. The first transaction always needs authentication. Higher limits apply to a few categories such as insurance premiums and mutual funds, not gym fees.

How many times does UPI AutoPay retry a failed payment?

Under NPCI guidelines effective 1 August 2025, as reported, each AutoPay debit gets one attempt and up to three retries, run outside peak hours. After that the gym has to collect the payment another way.

Can a member cancel a gym auto-debit anytime?

Yes. RBI’s framework requires that customers can withdraw an e-mandate at any time, and opt out of any particular debit. A gym should make cancelling from its own side just as easy and state in its terms when the cancellation takes effect.

Can a gym refuse a refund on a membership?

A blanket no-refund clause is risky. The Consumer Protection Act 2019 treats unreasonable, one-sided terms as unfair contract terms, and consumer commissions have ordered gyms to refund where services stopped or the member was not given the terms. Clear, proportionate refund rules shown before payment are safer.

What GST applies to gym memberships?

Business Today, citing CBIC, reported that gym and yoga services moved from 18% with input tax credit to 5% without input tax credit from 22 September 2025. Confirm the rate for your plans and any products with your CA, and issue a GST receipt for every monthly debit.
