Gym Management Software Features: The Checklist to Use Before You Buy

Most gym software looks the same in a sales demo. The differences that cost you money show up in freezes, auto-debits, PT counts and data export, so test those before you sign.

A gym owner in Kharghar showed me three vendor brochures last month. All three promised memberships, biometric check-in, GST billing, a member app and WhatsApp reminders. All three demos ran on clean sample data with five happy members. None of them showed what happens when a member freezes for three weeks, an auto-debit fails, or a trainer and a client disagree on how many PT sessions are left. Those are the moments that decide whether software saves you money or creates arguments at the front desk.

This guide answers one question: which gym software features actually matter, and how do you check them before you pay? I write as the founder of Infoways, a Navi Mumbai company that builds member apps and front-desk systems for gyms and studios, and that also tells owners when a ready-made product is the better buy. The checklist works whichever product you choose.

What features should gym management software have?

Gym management software should, at minimum, hold every member’s plan and terms, track freezes and renewals, collect payments into your account with GST receipts, record check-ins, count PT sessions, send reminders and let you export everything. Classes, a member app, multi-branch control and trainer commission are important for some gyms and optional for others.

The split below is how I sort features when an owner asks what to pay for. It assumes a single gym or studio with a few hundred members. A chain or franchise moves several of the “nice-to-have” rows into the must-have column.

Must-have and nice-to-have features for a typical Indian gym
FeatureMust-have or nice-to-haveWhy it matters
Membership plans with written terms accepted at joiningMust-haveYour record of what was promised: duration, inclusions, branches, freeze and refund rules
Freezes, transfers and extensions with a logMust-haveExpiry dates move automatically; disputes are settled from the record, not memory
Renewal list and remindersMust-haveRenewals are most of your revenue; the list should show who is due and who was contacted
Payments into the gym’s gateway account, UPI and cardsMust-haveStops money landing on staff phones; every payment is matched to a member
Numbered GST receipts and Tally exportMust-haveYour CA needs clean sales data; members expect a proper receipt
Check-in by QR or biometric with historyMust-haveAttendance history is your early warning of members who will not renew
PT packages with session countsMust-have if you sell PTSessions used and left must match on both phones
Lead and trial follow-upMust-haveEnquiries are wasted without a follow-up list
UPI AutoPay or card e-mandateNice-to-have for most, must-have for monthly plansUseful for monthly billing; must follow RBI notice rules
Class booking with waitlistsNice-to-have, must-have for studiosYoga, Zumba and HIIT studios live on capacity and no-show rules
Trainer commission and payroll inputsNice-to-haveWorth it once PT is a large share of revenue
Member appNice-to-haveValuable if members actually use it for booking, PT confirmation and freezes
Multi-branch controlMust-have for chains onlyBranch access rules, branch-wise reports, transfers between branches
Workout and diet plans in the appNice-to-haveMany trainers still prefer their own format

1. Memberships, freezes and renewals: the core you cannot skip

The membership record is the heart of any gym system. If a product cannot hold your real plans, apply freezes correctly and show renewals due, nothing else it does will save you time.

Check that each plan can carry duration, inclusions (floor, classes, steam, PT), branches covered, freeze allowance, transfer fee and refund rule. Then check that a member sees and accepts those terms before paying, and gets a copy with the receipt. Consumer commissions have ordered gyms to refund members where services stopped or promised access was refused, as in a South Mumbai district commission order reported in November 2024. A written, accepted record is your protection.

Freezes are where cheap software breaks

In the setups we run, freezes cause more front-desk arguments than any other feature. Good software lets the desk or the member request a freeze with dates and a reason, checks it against the plan’s allowance, moves the expiry date, and logs who approved it. Weak software asks staff to edit the expiry date by hand, which means nobody can later say why it changed.

The Central Consumer Protection Authority’s 2023 dark pattern guidelines name the “subscription trap”, where cancelling is made hard. A freeze or cancel request that members can raise in the app, with a clear answer, keeps you on the right side of that.

2. Payments: UPI AutoPay, e-mandates and GST receipts

Payments should land in a gateway account in the gym’s name, with every rupee matched to a member and a numbered receipt issued at once. If you bill monthly by auto-debit, the software and your gateway must follow RBI’s e-mandate rules, including a notice before every debit.

RBI issued a consolidated Digital Payments E-mandate Framework on 21 April 2026, as reported by MediaNama. It covers recurring debits on cards, wallets and UPI. The points that matter to a gym are below.

Rules that shape payment and messaging features in gym software (as of October 2026)
RuleWhat it saysWhat to check in the software
RBI e-mandate: limit without extra authenticationRecurring debits up to ₹15,000 each can run without additional authentication once the mandate is registered; this limit was set in a June 2022 circular and kept in 2026Plans above ₹15,000 per debit need the member to authenticate each time; ask how the software prompts them
RBI e-mandate: pre-debit noticeAt least 24 hours before each debit, with merchant name, amount, date and reasonConfirm whether the gateway or the software sends it, and that the member also gets a gym reminder
RBI e-mandate: withdrawalThe member can opt out of a debit or withdraw the mandate at any timeA cancelled mandate must flag the member for a manual renewal, not silently lapse
TRAI DLT for SMSCommercial SMS goes only through headers and templates registered on DLT under TCCCPR 2018; links must be whitelisted, enforced from 1 October 2024Ask who registers your header and templates, and whether renewal links are whitelisted
Meta WhatsApp pricingCharged per delivered template message by category; service messages charged from 1 October 2026 after 1,000 free per number per monthAsk whether the vendor uses the official WhatsApp Business Platform and who pays per message
DPDP Rules 2025Notified 14 November 2025 with an 18-month phased compliance period; clear, separate consent notice requiredConsent at sign-up, separate consent for face check-in and marketing, data deletion settings

The failure case matters more than the happy path. When a debit fails because the member’s balance is short or the mandate was cancelled, the software should mark the membership, alert the desk and send the member a payment link. In systems we have replaced, failed debits were often noticed only when the member was turned away at the door, which is the worst possible moment.

GST receipts should be numbered in sequence, carry your GSTIN and the tax line, and export to Tally or your accountant’s format. Ask your CA which rate applies to each plan and to items such as supplements, and have the vendor set it per plan.

3. Check-in: QR, biometric or face, and what each asks of you

Check-in matters less for security than for data: every scan builds the attendance history that tells you who is drifting away. QR is cheapest to run, fingerprint is common and works with standard devices, and face check-in is fastest but needs clear consent.

Ready-made Indian products commonly support fingerprint, face, RFID and QR check-in. One vendor’s own page, for example, lists compatibility with ZKTeco and eSSL devices, two device brands we often find already fixed to gym walls. If you have devices, ask the vendor to name your exact model.

  • QR at the desk: no hardware beyond a tablet, but members can share screenshots. Fine for studios and smaller gyms.
  • Fingerprint: hard to share, works offline on most devices, slows down at 6 am rush if the device is slow or sweaty fingers fail.
  • Face: fast and touch-free, but face data is personal data. Under the DPDP Rules you need a clear consent notice, and I recommend a separate opt-in with QR as the alternative.
  • Turnstile or door lock: only worth it if expired members walking in is a real problem for you.

Whatever you choose, the check-in screen should show the desk a polite message for expired, frozen or unpaid members, and the plan’s branch rules should apply automatically.

4. Personal training, classes and trainer commission

If PT is a meaningful share of your revenue, the software must count sessions in a way both trainer and member trust. The best method we have used is member confirmation: the session counts only when the member confirms in the app or reads out a one-time code.

Without confirmation, the count lives in the trainer’s notebook, and disputes start when the package nears its end. Check that each PT package has a session count and a validity date, that unused sessions show on the member’s phone, and that expiring sessions trigger a reminder before they lapse.

Classes and waitlists

Studios need capacity per room, booking from the app, a waitlist that moves people in automatically when someone cancels before the cut-off, and late-cancel rules shown before booking. Class packs should draw down one credit per booking.

Trainer commission

Commission is a nice-to-have until PT becomes large. Then you want incentives worked out from confirmed sessions and PT sales, by trainer, every month. Calculating it from unconfirmed sessions simply moves the dispute from the floor to payroll.

5. Reminders on WhatsApp and SMS: the TRAI and Meta rules

Renewal, payment and missed-visit reminders are among the most useful automations a gym can buy. They only work if the messages actually deliver: SMS must use DLT-registered headers and templates under TRAI rules, and WhatsApp should go through Meta’s official platform, which charges per message.

Under TRAI’s Telecom Commercial Communications Customer Preference Regulations, 2018, businesses register their sender headers and message templates on the DLT platform, and telcos block messages that do not match. In 2024 TRAI also required links inside SMS to be whitelisted, with blocking enforced from 1 October 2024, as MediaNama reported. A renewal SMS carrying a payment link that was never whitelisted will simply not arrive.

For WhatsApp, Meta’s pricing page says template messages are charged per delivered message by category, with marketing the most expensive. From 1 October 2026, service replies are charged after 1,000 free per number per month. Ask whether the vendor’s WhatsApp feature uses the official platform or an unofficial tool that risks your number being blocked.

  • Who registers the DLT entity, header and templates: you or the vendor? It should be in your gym’s name.
  • Are renewal and payment links whitelisted?
  • Which WhatsApp templates are utility (reminders) and which are marketing (offers)? They cost differently.
  • Can a member opt out of promotional messages without losing renewal reminders?

6. Reports, multi-branch control and data export

Reports should answer the owner’s weekly questions in one screen: renewals due and done, members not seen in two weeks, trial-to-joining conversion, PT sessions used against sold, and collections by mode. Data export is the feature most owners forget and most regret.

For chains, check branch access rules (a single-branch member is refused politely elsewhere, a multi-branch member is never refused), branch-wise reports, member transfers between branches and staff permissions by branch.

Export is your exit route. If you change vendors in three years, you need every member, plan, payment, freeze, PT balance and check-in in a spreadsheet. When we migrate gyms off old software, the hardest part is nearly always data that the old product would only export as a summary.

7. Member data under the DPDP Act

Gym software holds phone numbers, photos, body measurements, health notes and sometimes face data, all of which is personal data under India’s Digital Personal Data Protection Act. Pick software that records consent, limits who sees health notes and lets you delete data when a member leaves.

The DPDP Rules were notified on 14 November 2025 with an 18-month phased compliance period, and require a clear, separate consent notice, according to the government explainer. In practice, ask for: consent captured at sign-up, separate consent for face check-in and marketing, health notes visible only to the assigned trainer and manager, staff access by role, and a setting for how long data is kept after a member leaves. Members under 18 need a parent’s consent.

What to test in a gym software demo

A demo proves only what you ask it to prove. Bring your own messy cases and ask the vendor to run them live; the table below is the script we use when we sit in on demos for clients.

Ready-made gym software used in India: an honest look

For most single gyms and studios, a ready-made product is the sensible start: it is quick to set up, works with common devices and the vendor handles upkeep. The products differ mainly in depth, target size and how much the member app is yours.

Here is how three products describe themselves on their own websites as of October 2026. I have not tested each one end to end, I list no prices, and features change often, so treat this as a starting point for your own demo script.

Custom software earns its place in narrower cases: a brand with several branches or franchises that wants one system and its own branded member app, a studio chain selling class packs, memberships and online classes together, or a gym with corporate tie-ups and complex trainer incentives. Often the right answer is a ready-made back office plus a custom member app.

When owners ask us to build, we start from the same checklist above. Our page on gym management software shows how we put memberships, payments, check-in, PT and the member app on one record for gyms that have outgrown a ready-made product.

Where this checklist breaks down

A checklist rewards features, and features are not the whole story. Software that passes every row can still fail if the desk staff never use it or the vendor’s support disappears after the first month.

  • Small gyms with a hands-on owner may get more from a disciplined register and WhatsApp than from software nobody updates. Buy software when the register is clearly losing renewals or money.
  • The rules above change. RBI consolidated its e-mandate rules in 2026 and TRAI keeps tightening SMS rules; confirm current details with your payment gateway and SMS provider.
  • Vendor websites describe intentions, not your experience. Ask for two references from gyms of your size in your city and call them.
  • A member app only helps if members install it. In our experience, adoption depends on staff pushing it at the desk in the first weeks, not on the app’s design.
  • Data export in a demo is not the same as export after three years of use. Get the exit terms in the contract.

The one-page checklist to take to your next demo

The three brochures on that Kharghar owner’s desk looked identical. The demo script did not: one product passed seven of nine rows live, and that is the one he bought.

Frequently asked questions

What are the most important features of gym management software?

Membership plans with written terms, freezes and renewals on record, payments into the gym’s own account with GST receipts, check-in history, PT session counts, renewal reminders and full data export. Classes, a member app and multi-branch control matter depending on your format.

Can gym software collect monthly fees automatically?

Yes, through UPI AutoPay or card e-mandates set up via your payment gateway. RBI rules require a notice at least 24 hours before each debit, allow debits up to ₹15,000 without extra authentication, and let the member withdraw the mandate at any time.

Is biometric or QR check-in better for a gym?

QR needs no hardware and suits studios and small gyms; fingerprint is harder to share and works with common devices. Face check-in is fastest but uses face data, so take separate consent under the DPDP Rules and offer QR as an alternative.

Do gyms need DLT registration to send SMS reminders?

Yes. Commercial SMS in India must go through a header and templates registered on the DLT platform under TRAI’s 2018 regulations, and links inside SMS must be whitelisted. Ask your software vendor whether registration is in your gym’s name.

What should I ask in a gym software demo?

Ask the vendor to run your messy cases live: a freeze, a failed auto-debit, a disputed PT count, a member visiting another branch, a reminder sent to your own phone, and a full data export. Compare vendors on what they show, not what they promise.

Should a small gym buy ready-made software or build its own?

A single gym or studio is usually better served by a ready-made product. Custom software makes sense for chains, franchises and studios with unusual plans, or when you want your own branded member app on top of a ready-made back office.
