How mobile and electronics shops run today, and where profit leaks
A typical mobile shop in Vashi, Dombivli, Panvel or Pimpri runs on thin margins on new phones, better margins on accessories, a repair counter that brings people back, and finance that decides half of the big sales. Electronics stores selling TVs, ACs, fridges and laptops add brand promoters, delivery and installation. Both compete with Amazon, Flipkart and brand stores on price and with neighbourhood repair stalls on convenience.
The leaks are specific to this trade. Stock is counted by model, not by IMEI or serial, so when a phone goes missing nobody knows which unit it was. A customer comes back with a warranty claim and the invoice cannot be found. Repair jobs are written on paper slips; customers call five times asking for status, parts are ordered late, and a phone sits ready for two weeks because nobody called the owner. Exchange phones are taken without proper checks and some turn out to be blocked or tampered. EMI enquiries are taken on a notepad and lost when the finance promoter changes.
The rules have also moved. The Telecom Cyber Security Amendment Rules notified on 22 October 2025 are reported to require sellers of used phones to check the IMEI database before buying or selling. Used phones bought from customers raise GST questions, because many dealers use the margin scheme. Chargers, power banks and phones fall under the BIS compulsory registration scheme. And lenders now give a Key Facts Statement for consumer loans, which matters when you help customers with EMI.
Infoways, a web, app and software company in Mahape, Navi Mumbai, builds store websites and online stores, EMI and finance enquiry flows, repair tracking with job status on WhatsApp, warranty records, exchange offers and local search set-up for electronics and mobile shops. Below: how each module works, the rules it must respect, how it compares with the billing and repair software you already know, and what to ask before you spend anything.
Module by Module
Inside a mobile and electronics shop system: what each part does
Eight modules, who uses each one, and the counter situations that decide whether the software helps.
01
Stock by IMEI and serial number
Used by the counter and owner. Every phone is entered by IMEI, and every TV, laptop or appliance by serial number, at purchase, usually by scanning the box. A sale picks the exact unit, so the invoice carries the IMEI or serial. Transfers between branches move named units, not counts. If a phone goes missing, you know which one, when it was last seen and who handled it. Demo units, display pieces and open-box items are marked separately, so they are not sold as sealed new stock by mistake.

Repair tickets and job status on WhatsApp
Used by the repair desk and technicians. Each job gets a ticket with the customer’s number, model, IMEI, fault, accessories received, phone condition with photos, and whether the customer has a backup. The estimate goes to the customer on WhatsApp and work starts only after they approve it. Status moves through received, diagnosing, waiting for part, repaired, quality check and ready for pickup, and each change is sent automatically. Jobs ready for more than a set number of days get a reminder, then a call.
Solved in your app03
Invoices and warranty records
Used at the counter and the service desk. Every sale stores the invoice, IMEI or serial, brand warranty period and any extended warranty sold. When a customer comes back, staff search by phone number, IMEI or serial and see the invoice and warranty status in seconds. Customers get the invoice and warranty card on WhatsApp at the time of sale, so “I lost the bill” stops being a problem. Warranty claims sent to brand service centres are tracked until the device comes back.
Solved in your app04
EMI and finance enquiries
Used by sales and finance promoters. Customers ask about EMI on the website, WhatsApp or at the counter, and the enquiry is recorded with the product, budget and preferred option: card EMI, consumer durable loan from a finance company, or a brand offer. The enquiry goes to the right lender’s promoter at your store, with status kept in one list. The software does not make credit decisions or hold loan data that belongs to the lender. It helps you see which enquiries turned into sales and which lender declined most.
Solved in your app05
Exchange offers and used-phone checks
Used by the exchange desk. When a customer trades in an old phone, the staff record the IMEI, check it against the IMEI database as the 2025 telecom rules are reported to require, test the phone against a checklist (screen, battery, cameras, buttons, body) and grade it. The exchange value is worked out from your price sheet for that model and grade. The customer’s ID and consent are recorded, and a factory reset is confirmed. Used phones you resell carry their history, so a buyer complaint can be traced.
Solved in your app06
Store website, catalogue and online orders
Used by customers and the owner. Each model has a page with variants, colours and live stock by branch, plus the EMI options you offer. Customers can reserve for pickup, which brings them to the counter where accessories and protection plans are sold, or order online with payment if you want to ship. Pages are built for local searches such as “Samsung phone shop in Kharghar” or “LED TV showroom Thane”, with branch details and reviews. Brand logos and offers are used as the brand’s dealer terms allow.
Solved in your app07
Accessories, protection plans and offers
Used by sales and the owner. When a phone is billed, the counter screen suggests accessories that fit that model: covers, tempered glass, chargers, earphones, and protection plans you are authorised to sell. Accessory sales per phone and per salesperson are tracked, because this is where much of the margin sits. Chargers and power banks are checked for BIS registration details at purchase. Customers get warranty expiry reminders and relevant offers on WhatsApp with their consent.
Solved in your app08
Branches, purchases and the owner’s view
Used by the owner and purchase person. Purchases from distributors are entered by IMEI or serial with scheme and price protection notes. Stock ageing by model shows phones that have sat too long and need a push before the next model launches. For a small chain, the owner sees sales, margin, repair jobs, exchange stock and EMI conversions for every branch from one login. Data can export to Tally or link with your billing software if it allows.

IMEI, GST, BIS and consumer rules a mobile shop should get right
These are the points owners raise with us most. Some are new, and some are being interpreted differently by different advisers.
Term or rule
1What it means
2How the software handles it
IMEI check on used phones
The Telecom Cyber Security Amendment Rules, gazetted on 22 October 2025, are reported to require sellers of used mobile phones to check the IMEI database before buying or selling, so blacklisted phones are not put back into use.
The exchange and used-phone screen records the IMEI, the check result and date, and blocks the purchase if the check is not marked done.
IMEI and serial on invoices
Many shops record IMEI and serial numbers on invoices, and brands and lenders usually ask for them for warranty and EMI. It also helps with theft and tampering complaints.
Every unit is sold against its IMEI or serial, which prints on the invoice and stays searchable.
GST margin scheme for second-hand goods (Rule 32(5))
A dealer in used goods can pay GST on the margin between purchase and sale price instead of the full price, if no input tax credit was taken on the purchase. A negative margin is ignored.
Used phones carry purchase price and source, so your CA can apply the margin scheme or normal GST per unit. Rates and treatment are settings, not code.
BIS Compulsory Registration Scheme
Under the Electronics and Information Technology Goods Order 2012, notified items such as mobile phones, chargers and power banks need BIS registration, shown as an R-number, and are not to be sold without it.
Accessory items carry the R-number from the box, so unregistered stock can be spotted at purchase.
Brand warranty and seller duties
The manufacturer’s warranty is set by the brand. Under the Consumer Protection Act 2019, sellers can also be held responsible in some cases, for example for defects they knew about or promises they made.
Warranty periods are stored per product, promises made at sale (such as replacement within days) are written on the invoice, and claims are tracked.
Extended warranty and protection plans
Plans are sold on behalf of a provider or insurer, under their terms. Some are insurance products sold under the insurer’s rules.
Plans are linked to the unit and the provider, with policy or plan numbers and expiry dates, so claims can be raised quickly.
EMI and Key Facts Statement
RBI requires lenders to give borrowers a Key Facts Statement for retail loans, including consumer durable loans, showing the real cost. The lender, not the shop, makes the credit decision.
The system records the enquiry and outcome only. Loan documents stay with the lender, and staff are prompted to tell customers to read the lender’s KFS.
Repair data and the customer’s phone
A phone left for repair holds photos, chats and banking apps. Customer data in the phone and in your records is personal data under the DPDP Act 2023.
Tickets record whether the customer took a backup and removed locks, technicians see only what the job needs, and ticket photos show the device condition, not its content.
E-waste
The E-Waste (Management) Rules 2022 place extended producer responsibility mainly on producers. Many brands run take-back through dealers.
Old devices taken in exchange or for disposal are logged with where they went, so you can show the brand or recycler records if asked.

We have taken these points from government notices and legal and tax publications as reported. Some of the 2025 telecom rules are still being worked out in practice. Confirm IMEI and used-phone rules with your adviser, GST with your CA, and warranty and plan terms with the brands and providers before they go into the software. We set up what you approve; we do not give legal advice.
Vyapar, Marg, a repair app or your own system?
Most shops already use billing software: Vyapar, myBillBook, Marg, GoFrugal and others handle GST invoices and stock well, and many can track serial numbers. If billing works, keep it. For repair centres there are ready-made repair tools, including global ones such as RepairShopr and Indian apps built for mobile repair, with ticketing and SMS or WhatsApp updates. For a single shop with a small repair counter, one of these may be enough, and we will say so.
Before you choose, check that the tool tracks stock by IMEI with full history, that repair tickets record condition with photos and estimate approval, that WhatsApp updates go from your own business number, that exchange phones carry the IMEI check, and that you can export everything. Many tools do two of these well and the rest poorly.
A custom system makes sense when you run several branches with stock moving between them, a large repair centre handling brand warranty work, a used and refurbished phone business that needs grading and history, or an online store linked to live stock. Our guide on custom software vs off-the-shelf covers the trade-off, and our ecommerce development page covers online stores.

Numbers to Track
Numbers a mobile or electronics shop owner should check every week
All of these come from records the system keeps anyway. If you cannot see them today, that is the first gap.
01
Accessory and plan attach rate
Accessories and protection plans sold per phone sold, by salesperson. Phone margins are thin; this number often decides whether a month was profitable.
Solved in your app02
Repair turnaround time
Days from ticket opened to ready for pickup, split into diagnosis, waiting for parts and repair. Long waits for parts point to a supplier problem, not a technician problem.
Solved in your app03
Repairs not collected
Devices ready for pickup for more than a set number of days. These block bench space and cash for parts. A firm reminder process clears most of them.
Solved in your app04
Stock ageing by model
Days each unit has been in stock, by model. Phones lose value fast when the next model arrives, so units older than your threshold need an offer before launch day.
Solved in your app05
EMI enquiry conversion, by lender
EMI enquiries that became sales, and approval rates by lender. It shows which finance partner to push and where customers are being declined.
Solved in your app06
Exchange margin and used-phone sell-through
Resale price minus exchange value and refurbishing cost for each used phone, and how long used stock takes to sell. A weak grade checklist shows up here first.
Solved in your app07
Reviews per branch
New Google reviews per week per branch, and the share of repair and sale customers who were asked. Reviews decide who shows up first for “mobile shop near me”.
Solved in your app08
Website reservations to counter sales
Reservations and enquiries from the website that turned into sales at the counter. It shows whether the website is bringing buyers or just browsers.
Solved in your app
Example: a Saturday at a two-branch mobile shop in Kharghar and Panvel
Say you run two mobile shops, in Kharghar and Panvel, with a repair counter at Kharghar. The numbers here are only to show the flow. At 10 am a customer who searched “Samsung phone shop Kharghar” reserves a phone on your website. The system holds one unit by IMEI at Kharghar. When she arrives, the salesperson bills that exact unit, the screen suggests a cover, tempered glass and a protection plan, and she takes two of the three. The invoice and warranty card reach her on WhatsApp before she leaves.
At noon, a customer wants a laptop on EMI. The enquiry goes to the finance promoter at the store, who processes it on the lender’s app. It is approved, the lender’s KFS is shared with the customer, and the outcome is recorded against the enquiry. At the same time, another customer trades in an old phone. The exchange desk records the IMEI, marks the database check as done, tests the phone against the checklist, grades it B, and offers the value from your price sheet. The customer’s ID and consent are saved and the phone is reset in front of them.
At the repair counter, a phone with a cracked screen comes in. The ticket records the IMEI, condition photos and that the customer has a backup. The estimate is approved on WhatsApp. The part is in stock, the phone is ready by 5 pm, and the status message goes out. Two other phones have been ready for nine days; the system has sent two reminders, and the counter now calls both owners.
At closing, the owner checks one screen: phones sold by branch, accessory attach rate, EMI enquiries and approvals, exchange stock by grade, repairs ready and waiting, and three new Google reviews. A model with eleven units in stock for 60 days stands out; it goes on offer before the new launch next month.
Rollout Plan
Rollout plan: from paper repair slips to a working shop system
1
Step 1
Week 1: Agree how you work
We sit with the owner, a senior salesperson and the repair lead to list products, exchange price sheets and grades, repair statuses, warranty promises and the rules your CA and adviser want followed.
2
Step 2
Weeks 1-2: Count stock by IMEI and serial
Every unit in stock is scanned into the system by IMEI or serial at each branch. It takes a few evenings and is the most valuable step, because every later report depends on it.
3
Step 3
Weeks 2-3: Connect billing, WhatsApp and payments
We link with your billing software where it allows an export or API, set up the WhatsApp Business API number in your shop’s name and a payment gateway in your own account.
4
Step 4
Week 3: Repair counter goes live
New repair jobs open as tickets from day one, while old paper slips are closed out. Technicians and the desk are trained in Hindi, Marathi or English.
5
Step 5
Week 4: Exchange desk and sales counter
Exchange checks, grading and IMEI database recording go live, followed by IMEI-wise billing at the counter with accessory suggestions.
6
Step 6
Weeks 5-8: Website and online catalogue
Model pages with live stock by branch, reservations, EMI enquiry and repair booking go live, with branch pages set up for local search.
7
Step 7
After launch: support and changes
New models, price sheets and rule changes keep coming. Maintenance and support covers updates and new reports.
Before You Decide
Ten questions to ask any shop software vendor, including us
Does it track every unit by IMEI or serial, with purchase, transfer and sale history?
Can repair tickets record condition photos, accessories received and backup status, and get estimate approval on WhatsApp?
Is the WhatsApp number registered in our shop’s name, so customer chats stay with us?
Does the exchange screen record the IMEI database check and block a purchase without it?
Can used phones carry purchase price and source so our CA can apply the margin scheme where it fits?
Will it link with our billing software, or will we end up with two stock counts?
Can the website show live stock by branch and take reservations?
Can we export all stock, customers, invoices and repair tickets at any time, including after we leave?
How are customer details and repair photos protected, and how is consent handled under the DPDP Act 2023?
Who answers support on a Sunday during a sale, and how fast?

What decides the cost of a shop system: branches, repair volume and the online store
We quote each shop after understanding how it works. A repair ticket system with WhatsApp status and warranty search for one shop is a small project. Adding IMEI-wise stock, exchange with checks and grading, EMI enquiry tracking and accessory suggestions makes it medium. A multi-branch system with stock transfers, a website with live stock and online orders, a used and refurbished phone business and owner reports across branches is large.
Cost goes up with the number of branches, how open your billing software is, whether you want full online checkout or only reservations, repair volume and brand warranty work, and the number of reports and roles. It comes down if you start with repair tickets and WhatsApp updates, which customers notice first, and add stock, exchange and the website in phases.
Timelines: a repair and warranty system for one shop usually takes 3-5 weeks. IMEI stock, exchange and EMI tracking add another 4-6 weeks. A multi-branch system with an online store runs 3-4 months in phases. See ecommerce development for the online store, local SEO for search visibility, and our app cost calculator to see which features move scope most.
Mistakes mobile and electronics shops make with software, and when to wait
Do not skip the IMEI count. A system that tracks stock by model only cannot tell you which phone went missing, which unit was sold on EMI, or which exchange phone came from whom. Do the count once, properly.
Do not take exchange phones without a recorded check. A blocked or tampered phone in your used stock is a problem for you, not the customer who sold it. Record the IMEI check, the customer’s ID and the reset.
Do not build an online store that competes on price with Amazon and Flipkart. A local website works when it shows live stock nearby, EMI options and repair booking, and brings people to your counter where you can sell accessories and plans.
And do not build if you are a single shop with a small repair counter. Good billing software, a ready-made repair app and a well-kept Google Business Profile will do. Building makes sense once branches, repair volume or used-phone trade make the gaps expensive.
Do I need to check the IMEI before buying a used phone from a customer?
The Telecom Cyber Security Amendment Rules gazetted on 22 October 2025 are reported to require sellers of used phones to check the IMEI database before buying or selling. How the check is done in practice is still settling, so confirm with your adviser. The exchange screen records the check and blocks the purchase without it.
How is GST charged on used phones I resell?
Many dealers use the margin scheme under Rule 32(5), paying GST on the difference between purchase and sale price, provided no input tax credit was taken on the purchase. A negative margin is ignored. Ask your CA whether it fits your business; the system keeps purchase price and source per unit.
Can the software track stock by IMEI number?
Yes. Every phone is entered by IMEI and every other device by serial at purchase, usually by scanning the box. Sales, transfers and returns move named units, so you always know where each one is.
How do customers get repair status on WhatsApp?
Each repair ticket sends an automatic WhatsApp message from your business number when the status changes: received, diagnosing, waiting for part, repaired, ready for pickup. The estimate is also approved on WhatsApp before work starts.
Can we find a customer’s invoice and warranty quickly?
Yes. Staff search by phone number, IMEI or serial and see the invoice, warranty period and any extended plan in seconds. Customers also get the invoice and warranty card on WhatsApp at the time of sale.
Can the website show EMI options?
Yes. Model pages can show the EMI options you offer, and an enquiry form sends requests to your finance desk. The lender makes the credit decision and gives the customer a Key Facts Statement, as RBI requires for retail loans.
Do chargers and power banks need BIS registration?
Under the BIS Compulsory Registration Scheme, notified items such as phones, chargers and power banks need registration, shown as an R-number, before they are sold. The system can store the R-number from the box so unregistered accessories are spotted at purchase.
Am I responsible for warranty or only the brand?
The brand sets the manufacturer’s warranty. Under the Consumer Protection Act 2019, sellers can also be held responsible in some situations, such as promises made at the counter. Write any promise on the invoice, and check your position with your lawyer.
Should I use Vyapar or Marg instead of a custom system?
If your billing works, keep it. Custom work usually sits on top: repair tickets, IMEI history, exchange checks, EMI tracking and a website with live stock. For a single shop, a good billing package and a ready-made repair app may be all you need.
Can the online store compete with Amazon and Flipkart?
On price alone, rarely. A local website works best when it shows live stock at your branch, EMI options, reservations and repair booking, so people nearby come to your counter.
How do we handle customer data inside phones left for repair?
The ticket records whether the customer took a backup and removed locks. Technicians see only what the job needs, and photos show the device’s condition, not its content. Customer details are personal data under the DPDP Act 2023, with consent, role-based access and logs of every export.
Can the system work across branches?
Yes. Stock moves between branches as named units, and the owner sees sales, margin, repairs, exchange stock and EMI conversions for every branch from one login.
How long does it take to set up?
A repair and warranty system for one shop usually takes 3-5 weeks. IMEI stock, exchange and EMI tracking add 4-6 weeks. A multi-branch system with an online store runs 3-4 months in phases.
